Event room configuration

You use the Event Room tab to configure the rooms which an event can be held in. Multiple event rooms can be combined to create super rooms for properties that have configurable event areas.

To configure an event room:

  1. Select Administration > Property > Events > Event Room Configuration.
  2. Click New Record.
  3. In the Record View tab, specify this information:
    Room
    Specify the name and description of the event room. This is a mandatory field.
    Room Type
    Select a room type. This is a mandatory field.
    Status
    To use the event room, set the status to Active. This is a mandatory field.
    Display Order
    The numeric order in which the event room is displayed on the screen. For example, you can specify that an event room must be displayed at number nine in the list.
    Square Footage
    Specify the square footage of the event room.
    Maximum Persons
    Specify the maximum number of persons that can be accommodated in the event room.
    Accessible
    Select the check box to indicate that the event room is accessible to people with disabilities.
    Public Space
    If this check box is selected, the room is configured as a public room for the property.

    For example, coffee breakout area or dining room for multiple groups. You can make multiple bookings for this room.

    Note: 
    • The room can be booked by more than one associated and unassociated Event Reservations.
    • The room cannot be a component of a Super Room.
    Non Smoking
    Select the check box to indicate that the event room is a non smoking room.
    Phone Number
    Specify the number of the phone in the event room.
    Key Number
    Specify the number of the key used to open the door of the event room.
  4. Click Save to save the record.
  5. Click the Layout tab.
  6. In the Room Layout Details tab, specify the following:
    Layout
    Select the layout of the room.
    Maximum Persons
    Specify the maximum number of people that the event room can accommodate. The maximum number that you specify cannot be greater than the value in the Maximum Persons field in the Record View tab.
  7. Click Save.
