Creating room types

Create room types to add room type details, pictures, and selling notes for different room types. The creation of room types is an essential part the property configuration process.

The Maintain Room Types page functions in two modes: Single Tier and Multiple Tier. In Single Tier Mode, the room type and room category are equivalent. In Multiple Tier mode, you can define multiple room types for the same room type category.

To create room types:

  1. Select Administration > Property > Rooms > Room Types.
  2. Click New Record, specify this information:
    Room Type Category
    Select the room type category for the new room type. Room type categories are maintained on the Maintain Room Type Categories page. The first field is filled with the room type category code and the second field is filled with the room type category name.
    Room Type Name
    Specify the code for the room type in the first field. Specify the room type name in the second field..
    Description
    Specify a description of the room type.
    Property
    The default property code.
    Status
    The status of the hotel in the configured property.

    By default, this is set to Inactive, until the hotel is “go live”.

    Note: 
    • You must add Suite Components to activate the room type of suite.
    • You can activate a suite only if the suite is configured with a minimum of one room that has the Unit Type set to Room.
    Building
    The building code type based on which the Property and Building details are displayed.
    Note: 
    • The report is categorized based on the building defined at the Room Type level.
    • If the rooms have no building assigned, ‘No Building’ text is displayed in the report.
    • The rooms assigned with no building have reports displayed with “No Building” text.
    • The revenue related data for reservations of Room Numbers that are associated with the Building are included in the report. However, the data for Room Numbers that do not have Building associated is displayed as ‘***’.
    • A room type for which the Unit Type is set to Suite cannot be linked to a virtual building.
    Wing
    The wing code associated with the building.
    Floor
    The floor code associated with the building.
    Virtual
    If this check box is selected, the building is not within the hotel premise.
    Note: 
    • By default, this check box is selected and disabled, if the Building field is set to Virtual Building. You cannot modify this value.
    • If this check box is selected, these fields are blank and disabled:
      • Wing
      • Floor
  3. Click the Associate Properties option to associate the room types with one or more properties. To enable this option, the CENTRALSYNC property parameter must be selected. The option is displayed with an indicator when a property(s) is associated with the specific room type.
  4. Select a Building, Wing, Floor location on the screen.
  5. Click Actions > Sell Priorities, to select a room type for modifying the sell priority type.
  6. Click Actions > Image Update to set an image for the defined room type.
  7. Specify this information in the Room Type Details section:
    Inventory Count

    Optionally, specify the inventory count for the room type. The Inventory Count is automatically completed based on the existing inventory for the hotel date and property.

    Tax Calculation Count
    Specify the number from 0 to 9 for the system to use in the calculated tax count.
    Rotation Type
    Select the rotation type for the room type. Your options are Owner or Wear and Tear. See Understanding room rotation
    Unit Type
    Select the unit type for the room type. Unit types are defined for the RMUNTY code on the Maintain Global Codes screen.
    Note: 
    • You cannot modify the Unit Type toRoom, if the field is set to Suite.
    • You cannot modify the suite configuration, when the Room is Active and in use.
    • When the field is set to Suite and the Room is Inactive, the suite configuration is reset on confirmation.
    Bed Type
    Select the bed type for the room type. Bed types are defined for the BEDTP code on the Maintain Global Codes page.
    Min Guests
    Select the minimum number of guests for the room type.
    Max Guests
    Select the maximum number of guests for the room type.
    Low Rate Limit
    Specify the low rate limit for the room type. Because the rates for hotel rooms change daily, the low rate limit designates the least amount for which the room type can be rented for hotel date.
    High Rate Limit
    Specify the high rate limit for the room type. Because the rates for hotel rooms change daily, the high rate limit designates the most amount for which the room type can be rented on the same hotel date.
    Run of House (ROH)
    If this check box is selected, the room is ROH type which enables additional room booking and confirmation of the reservation.
    Note: If this check box is selected, you cannot configure room ROH type in the Room Configuration screen.
    Apply Dynamic Pricing
    Select to apply dynamic pricing for the room type. Any rates that use dynamic pricing are automatically adjusted upwards or downwards on specified dates based on adjustment amount or adjustment percentage that you specify.
    Yieldable
    Select this check box to not display the room type in the Revenue Management when the rate value is below the defined threshold.
    Note: This feature is applicable only if Revenue management is supported within HMS.
    Rollaway Allowed
    Select to indicate that a rollaway bed is allowed for the room type.
    Crib Allowed
    Select to indicate that a crib is allowed for the room type.
    Display in CRS
    Select this check box to display the room type on all the rate and availability screens within HMS.
    Note: 
    Yieldable
    If this checkbox is selected, the bookings made for this room type is considered.
    Note: 
    • If this checkbox is cleared, the bookings for this room-type cannot be reject even if these can be sold at higher rate on the provided dates.
    • By default, this field is not selected.
    Hiring Charge
    is checked by default. Clear to indicate that the room should not be displayed in the central reservation system.
    Maintenance Charge
    is checked by default. Clear to indicate that the room should not be displayed in the central reservation system.
    Service Charge
    is checked by default. Clear to indicate that the room should not be displayed in the central reservation system.
    Min Adult Count
    The minimum number of adult guests for the room type.
    Max Adult Count
    The maximum number of adult guests for the room type.
    Max Child Count
    The maximum number of child guests for the room type.
    Max Overbooking Count
    The maximum integral value for overbooking.
    Note: This value must be higher than the overbooking setting. The application displays Max Overbooking Count cannot be set with this value message, if the field is set to a lower value against the overbooking count.
    Min Guest Rating
    The minimum value for the guest rating.
    Max Guest Rating
    The maximum value for the guest rating.
    Note: 
    • These fields are enabled if the USEGUESTRATING parameter is selected in the Property Configuration screen.
    • The guests are limited to room types within the guest rating. This field is used by US Military only. See Specifying the guest rating.
    Rental Percent
    A percentage of the rental amount. This value is used for the Inclusive Rate calculation in the lease records.
    Note: This field is enabled only if the Use Rental Percent check box is selected on the Lease Configuration screen.
  8. Click Save. The room type is added and the Room Types tab is displayed.
