Creating a guest profile

Create a new guest profile to add a record of a guest and detailed information about the guest. Note that the Profile ID is generated when you create a profile and Status is set to active.

To create a guest profile:

  1. Select Profiles > Guest Profiles.
  2. Click New Record.
  3. In the Guest Information section of the screen, specify the information that you require. See additional details about these fields:
    External ID
    This field is display only and contains an external guest profile reference number if the guest profile originated in another system.
    Last Name
    Specify the last name of the guest. This field contains a guest directory look up.
    Alternate First Name
    Specify an alternate first name of the guest.
    Alternate Middle Name
    Specify an alternate middle name of the guest.
    Alternate Last Name
    Specify an alternate last name of the guest.
    Alternate Title
    Specify an alternate title of the guest.
    Alternate Suffix
    Specify an alternate suffix of the guest.
    Codice Fiscale(Tax code)
    A unique identification number for the guest from Italy.
    Note: The value is included in Tax Invoice if the Company Tax ID is not applicable.
  4. In the Contact Details section of the screen, specify the information that you require. Address, Phone, Email entered into this section are all set to Preferred and will display in the Contact Details tab as Preferred. See additional details about these fields:
    Address Type
    Specify the address type. This field is required when an address has been specified in the address fields.
    Residence Type Code
    Select the type of the residence to which the guest belongs. Possible values:
    • Foreigner
    • Resident in European Union
    • Spanish Resident
    Auto Email Folio
    Select to indicate the folio should automatically be sent to the email address specified upon check out.
    Email Marketing Opt-In
    Select to indicate the guest agrees to receive marketing emails.
    Guest Opt-In
    Select these check boxes based on the guest’s consent in the Registration card..
    Note: 
    • The existing reservation information associated with the Guest Profile ID is updated, if the guest status is Reserved, Pre-Register, In-House, or Waitlist.
    • The guest details are deleted from the Contact Details tab when the contact information is deleted from the Guest Profile screen.
  5. In the Internal Loyalty Program section of the screen, specify the information that you require.
  6. In the Passport Details section of the screen, specify the information that you require.
    Note: 
    • The nationalityicon icon is displayed when the value in the Nationality field is different between the Passport Details and Other Information section.
    • The Show Number option for Passport Number and ID Number fields is not available if the property parameter MASKPERSONALINFORMATION is not specified.
    • Only authorized users can view the passport and ID number details of the guest.
    • The values displayed in the Passport Number and ID Number fields are based on the value specified in the property parameter MASKPERSONALINFORMATION.
    • The property parameter MASKPERSONALINFORMATION is not applicable when the VVIP functionality is enabled for the property.
  7. In the Other Information section of the screen, specify the information that you require. See additional details about these fields:
    VIP Status
    Specify the guest's VIP status. VIP status codes are created as part of the Global Code configuration.
    Personal Number
    The unique identification number of the guest.
    Tax ID
    Specify the tax ID.
    Tax Status
    Specify the tax status of the guest. If a group or profile (guest, organization, or booking agency) is added to the guest stay, the system will update the tax status with the group's or profile's tax status. If a group or multiple profiles are being added, the tax status of the group or first profile added will be used. If a tax status is copied from a profile that is not valid for the property, a message will display indicating the tax status should be updated with a valid tax status for the property or removed. Once the tax status is set on a guest stay, the system will not update it.
    Room Cleaning Time
    Specify the guest's desired room cleaning time.
    Turndown Service Time
    Specify the guest's desired turndown service time.
    Player Number
    The player identification number as assigned by an integrated casino management system.
    Player Rank
    Specify the player rank. If the property parameter CMSINTG is selected, the Casino Management System (CMS) integration is enabled. If the CMS is enabled, the rates are quoted by the system based on player rank code.
    NRG
    If this checkbox is selected, the guest is identified as Non Registered Guest for the Hotel.

    The guest is checked in with the prefix NRG.

    Note: 
    • The information related to this guest is not disclosed to the users.
    • The Guest Profile screen can be displayed in both List View and Record View.

      The list view is displayed based on the Search Dataspy available (such as Last Name, First Name, Alternate First Name and others) in the filter dropdown of the screen.

      The List view combines the NRG and Last Name field and displays the guest name based on this merge.

      For Example: If the Last Name of the NRG guest is Smith, the list view displays NRG smith in the Last Name column.

    Folio Comp Configuration
    Use this option to configure the items that are comped by the system when the items are posted to the guest folio.
    Note: 
    • This option is enabled only if:
      • The Property Parameter is set to CMSINTG.
      • The Install Parameter CMSPRTNR is set to CAESARS.
      • An Account is associated with the Guest Profile.
    • You can use this option only if a player number is associated with the guest profile.
    VVIP
    If this checkbox is selected, the guest is identified as a VVIP(Very Very Important Person) guest. See VVIP functionality.
    e-Invoicing Partner
    If this check box is selected, the electronic invoicing platform is applicable.
    e-Invoicing Partner ID
    A unique identification code to identify the e-Invoicing Partner.
    Note: This field is enabled only if e-Invoicing Partner check box is selected.
  8. In the Alias Details section of the screen, specify the information that you require. See additional details about these fields:
    Incognito
    Select to indicate that the guest should be listed under an alias to remain incognito. Selecting Incognito will flag the First Name, Middle Name, and Last Name fields, highlighting them in red, and the Alias First Name, Alias Middle Name, and Alias Last Name fields are enabled. The alias name will be what displays as the guest name on guest screens and on any reports or forms.
  9. In the Social Media Details section of the screen, specify the information that you require. When information is entered in the social media fields on a guest stay, check in, or walk in, it will be saved to the guest profile. When a new guest stay is created any social media that exists on the profile for the selected guest profile will be copied to the guest stay.
  10. Click Save Record or click on another profile tab. The guest profile is saved.
  11. Click Guest Directory on the toolbar of this screen to view the guest details such as last name, NRG guest, VIP and others. This screen allows the VVIP functionality for guest records.

    Based on the user authorizations as explained in the VVIP field, the guest records are displayed or viewed as “*****”. These fields are displayed as “*****” if the user is not a VVIP authorized one:

    • First Name

    • Last Name

    • Second Last Name

    • Room

    • Locator

    • Extension

  12. Click Run to filter the records based on the selected search criteria.
    Note: 
    • For example: If a Guest's Last Name is Smith and the NRG field is checked on the Guest Stay record, the Name is displayed on the Guest Directory pop-up as NRG Smith.
    • The user is able to filter the records by specifying the available search options.
    • You can use the options in the Activities (Action) to access the Activity related screens:
      • Book Activity: To access the Book Activity (List View/Record View) screen
      • Activity List: To access the Activity Booking List screen
      • Calendar View: To access the Activity Booking Calendar screen
      • The Show Details option is available for Passport Number, ID Number and Date of Birth fields when the MASKPERSONALINFORMATION property parameter contains the fields. Only the user with the appropriate permissions can view the details.
