Updating delegate reservations

You can use the Delegate Update pop-up to update existing delegate reservations with changes made to the group booking after the delegates are created. You can select one, or more than one record that you want to update. You can select the corresponding check box to specify what you want to update.

The update to the reservation is carried out in the background by the system. The information about the update process is displayed on the Delegate tab in the Delegate Update Process Details section. When the update process is running, the status is set to In Process, and when completed the status is set to Completed . After the process is completed, a message is displayed to inform the user about the number of records that were processed successfully. Click Details button on the Delegate tab to view the list of reservations that are not updated successfully and the reason the update failed.

Note: 
  • You can run only one delegate update process per group booking at one time. If you start a second delegate update process before the current process is completed, an error is displayed by the system.
  • If the updated/modified rate plan is linked to a non-room item associated with an acitivity, the application creates a pending activity.
  1. Select Group Sales > Group Booking.
  2. On the List View tab, select a group booking record that you want to update.
  3. Click the Delegate tab.
  4. Select the delegate record that you want to modify.
  5. Right Click and specify Delegate Update.
  6. Specify the information that you require. See additional details about these fields:
    Rate Plan Schedule
    Use the rate plan schedule to update existing reservations with new rate plans. You can apply different group rate plans to different dates of a group booking.
    Coupons
    If this checkbox is selected, the coupon details are added or updated for the selected delegate in the Coupon tab.
  7. Click Save.
