Reporting a lost guest item

You can use the Lost and Found page to search the existing items or to record the information about newly lost and found items. This page allows you to record and track the items until the items are returned to the proper owner. This screen applies the VVIP functionality.

Also, the List view displays these fields as “*****” for a non-authorized user:

  • Contact Last Name
  • Contact First Name
  • Confirmation Number
  • Lost By Last Name

To report a lost item or to report a item which has been found:

  1. Select Front Desk > Lost and Found.
  2. Click New Record.
  3. Specify this information:
    Item
    Specify the item name and description.
    Notes
    Specify the notes, if any.
    Confirmation Number
    Specify the reservation confirmation number of the guest.
    Room
    Specify the room number of the guest.
  4. In the Lost Details section, specify this information:
    Reported Lost
    Select the check box to report a lost item.
  5. In the Found Details section, specify the following:
    Reported Found
    Select the check box to report an item that is found.
  6. Specify the contact information provided by the guest in case a lost item needs to be returned to the owner.
    Contact Last Name
    The last name of the person who must be contacted in case an item reported lost is found and needs to be returned to the proper owner.
    Contact First Name
    The first name of the person who must be contacted in case an item reported lost is found and needs to be returned to the proper owner.
    Phone Number
    The phone number of the person who must be contacted in case an item reported lost is found and needs to be returned to the proper owner.
    Email Address
    The email address of the person who must be contacted in case an item reported lost is found and needs to be returned to the proper owner.
  7. In the Returned/Discarded Details section, specify this information:
    Return Status
    Specify the return status of the item. Following are the available options:
    • Closed-Never Found
    • Discarded
    • Ready for Return
    • Returned
    Date Returned or Discarded
    Specify the date on which the item is returned or discarded.
    Return Information
    Specify the notes when the item is returned.
    Return Contact Last Name
    Specify the last name of the contact to whom the item is returned.
    Return Contact First Name
    Specify the first name of the contact to whom the item is returned.
    Return Address
    Specify the address to which the lost item is returned.
    City
    Specify the city to which the lost item is returned.
    State / Province
    Specify the state or province to which the lost item is returned.
    Postal Code
    Specify the postal code of the place to which the item is returned.
  8. Click Save to save the specified information.
