Closing a cash bank

Use the Close Bank tab to close out a cash bank at the end of a shift. The close bank features enable a cashier to balance the cash and checks in the bank and also includes a drop process that compares user-entered cash balance values with the system-stored values that verifies that a cash bank is balanced. You can also print receipts for a cash bank as necessary.

Different statuses indicate the current stage of closing of a cash bank. The following list describes the different statuses:

  • In Use: Indicates that the cash bank is currently being used.
  • Not Currently In Use: Indicates that the cash bank is not currently being used.
  • Closing in Progress: Indicates that a currency has been entered when there are other currencies in the bank that must be entered also.
  • Ready to Print: Indicates that all currencies in the bank have been entered and the report is ready for generation.
  • Ready to Close: Indicates that the cash bank report has been printed and the bank is ready to be closed.

To close a cash bank:

  1. Select Front Desk > Cashier Banking.
  2. On the List View tab, select the cash bank record to work with and click the Close Bank tab.
  3. In the Shift Cash Details section, specify this information:
    Currency
    Specify the currency for which to enter details.
    Shift Cash Balance
    Specify the amount of cash contained in the drawer at the end of the shift. Closing Cash Balance is automatically updated based on the specified value.
    Cash Drop
    Specify the value of any cash drop. A cash drop is any amount of cash taken from the drawer to put into a safe or other device used for holding cash. Closing Cash Balance is automatically updated based on the specified value.
    Shift Check Balance
    Specify the sum of all the checks contained in the cash drawer for the shift.
    Shift Notes
    Specify any notes or additional information to associate with the closing of the cash bank for the shift.
  4. Click Save. If the cash bank is balanced with the information presently stored in the system and Currency Balanced is automatically selected.
    Note: If the cash bank is not in balance with the balance information in the system, Currency Balance is not selected and a message is displayed in the message bar. Click Yes, to continue closing the bank and to save the record. Click No to continue working without saving the record.
  5. Click Close Bank. The cash bank is closed and the cash journal information is saved. The Bank Status is also set to Inactive and Assigned To is cleared.
