Posting charges with Fast posting

Use the Fast Posting page to post charges for multiple In-House guests in quick succession. This page is helpful when you need to post multiple charges across many guest account folios. It is more efficient than accessing each guest account, selecting the Folio tab, and inserting the charge. When transactions are posted using the Fast Posting page they follow the same posting rules as if they were posted on the Folio tab of the guest account:

  • Taxes and resort fees associated to the posting will be displayed and posted.
  • All auto-transfer rules set on accounts are followed.
  • You cannot post charges to the house accounts when the No Post check box is selected.
    Note: By default, the No Post check box is selected for closed accounts.
  • Zero amount postings are controlled by the property parameter ALLOWZEROFOLIOAMOUNT.
  • If you specify the unit price, and a value exists in the Amount field, the Quantity is automatically calculated by the system based on Amount / Unit Price. Quantity is not updated if the calculated quantity is not a whole number.
  • If you specify the unit price, and a value exists in the Quantity field, the Amount is automatically calculated by the system based on the formula Unit Price * Quantity.
  • When a cash settlement is made, the total folio amount is rounded based on the value specified in the property parameter POSTROUNDINGDIFFERENCE.

Only transaction codes configured with a Revenue Type, or transaction codes configured with Pay Type of Cash or Check can be posted. Negative amounts can be posted.

Once the initial posting is submitted in a Fast Posting page session, the Transaction Code, Description, Folio and Amount fields are duplicated for the next posting. This allows a batch of the same transaction with the same amount to be posted to the other accounts quickly. You can change those fields where necessary. Once submitted you cannot modify any fields on the posted line, including the Payer field. Once you leave the page the previous postings will not display on the next page session.

Although guest account and room number search options are available, it is more efficient to have a list of room/guest names prepared before you start posting in the Fast Posting page.

If the Incognito check box is selected for a guest, the user must have Incognito Authorization to view the Guest Name and the Account details. See Incognito Functionality

To post charges using the Fast Posting page:

  1. Select Front Desk > Fast Posting.
  2. Click Add Record.
  3. Specify this information:
    Room
    The room number of the guest for which the charges are posted.
    Guest Name
    The name of the guest for whom the charges are posted.
    Account
    The account of the guest for whom the charges are posted.
    Note: 

    You can only select the Account for which the No Post check box is not selected on the Account screen.

    Transaction
    The transaction for which the charges are posted.
    Adjustment Reason
    The purpose of an adjustment or discount. You must select an option if the postings are adjusted.
    Note: This field is enabled when the property parameter POSADJREASON is selected.
    Comments
    The additional information related to the adjustment.
    Confirmation Number
    A unique number generated for the confirmed reservation.
    Account Type
    The type of the account for which the charges are posted.
    Reference Identifier
    The identification code that is used to identify the type of account.
    Folio
    The folio for which the charges are posted.
    Amount
    The amount of the charge to be posted.
    Note: You cannot specify a negative value in this field if the PREVENTNEGATIVEPOST property parameter is selected.
  4. Click Submit to post the charge to the guest folio. Add additional postings as necessary.
    Note: 
    • A confirmation message for rounding off the amount and posting the payment is displayed if:
      • The property parameter POSTROUNDINGDIFFERENCE is included in the transaction code.
      • A value is specified in the Cash Rounding Amount field in the Maintain Currency Codes screen.
      • The revenue type of the transaction is Cash.
    • The Account, Confirmation number, Account Type, and the Reference Identifier are automatically populated based on the selected Room and Guest name.
    • An Approve High Cash Payment window is displayed wherein you must specify the User ID and the Password of the Manager (or approved person). This window is displayed when the posting amount exceeds the high cash payment threshold. You can set the high cash payment threshold in the ANTIMONEYLAUNDERING property parameter. You can post the payment to the folio using the Submit option.
    • A confirmation message is displayed to post the Stamp Duty when the invoice amount is equal to or exceeds the threshold limit. You must specify a value for the property parameter ITALYSTAMPDUTY.
    • You can apply supervisor approval for high cash payments. See Mobile Supervisor Approval
