Managing guest messages during check-in and check-out

Guest messages are added to a guest reservation on the Messages tab of the Guest Stay form. These guest reservation messages record internal action requests, wake-up call requests, and voice mail notifications. Guest messages can be delivered or cancelled during both the check-in and check-out processes the Check In or Check Out pages.

The indicates that messages have been added on the guest registration. If messages have been added to a guest registration, they must be completed or cancelled prior to the check-out process.

To manage guest messages during check-in or check-out:

  1. Click Messages. The Messages window is displayed.
  2. Select the message to work with. The Message Details and Message sections of the page are populated with the message information.
    Note: Add or update information in the Message Details section as necessary. Refer to Maintaining guest messages.
  3. Change this information:
    Completed
    Select to indicate that the message has been delivered to the guest.
    Cancelled
    Select to indicate that the message has been cancelled and does not need to be delivered to the guest.
  4. Click Save. The message is removed from the Messages list.
  5. Click Close. The Record View tab is displayed. When all the messages on a guest reservation have been completed or cancelled, the is no longer displayed.
