Adding settlement details during a guest check-in

If a is displayed on the Settlement button, then the settlement information is still required for the guest check-in, and you must add the necessary settlement details and generate payment authorization before completing the check-in process.

To add settlement details during a guest check-in:

  1. From the Record View tab of the Check In form, click Settlement. A payment authorization page is displayed showing any folio settlement details that are available on the guest reservation.
  2. Click Add Record.
  3. Specify this information:
    Settlement Type
    The mode of payment settlement such as Cash, Cheque, Credit Card and so on.
    Type of Card
    Enter the type of card to be read by the card processor; for example, credit card or gift card.
    Save to Profile
    If this check box is selected, the settlement information is saved to the Billing Profiles tab of the Guest Profile screen.
    Note: You can also enter card information by swiping the card through a card reading device connected to your system. Verify that the Type of Card for the card reader is correct and click Activate Reader prior to swiping the card. Swiping the card initiates the approval process. Retrieve the card and approval information from the card reading device.
  4. Click Save. The card information is processed and updates Authorization Status, Authorization Type, Approval Code, Reference Number, and Capture Method.
  5. Alternatively, click Activate Reader if you have the electronic payment processing interface implemented at the property.
  6. Click Close. The Guarantee/Settlement Details are updated with the settlement information, and the indicates that the settlement process is completed.
    Note: If the payment authorization fails or is declined, a message is displayed in the message bar. Click OK to continue. You can then click Save to attempt the authorization again, or you can click Clear to remove the existing card information and retry the authorization with a different card.
