Associated Reservations

Use the Associated Reservations tab to associate reservations to a set of existing reservations, or to create one or more reservations that can be associated to one another. Only guest stays in Reservedstatus can be associated to one another. Associating reservations can be used to:

  • Create, manage and view reservations for the guest who stay at the property frequently
  • Create, manage and view smaller groups of guests who stay at the property for a family reunion or a wedding, in case a group booking is not created
To associate reservations one of the reservations must be marked as the coordinator. There can only be one coordinator for reservations that are associated to one another. The Coordinator check-box is set by the application for the selected guest stay when the first reservation is associated to the guest stay. If required, you can designate a different associated reservation as the coordinator. The associated reservations are created based on the reservations details of the Coordinator reservation and each guest can call-in to customize the reservations.
Note: When you create an associated reservation from the Associated Reservation tab, the application uses the data of the coordinator to populate the fields on the new reservation. When you use the duplicate functionality from a reservation that is an associated reservation, but is not the coordinator, the application uses the data of the reservation from which the duplicate functionality is invoked, to populate the fields on the new reservation.

The screen contains:

  • The associated reservation name and details of any associate reservation update.
  • The Associated Guests section displays all guest stays that are associated in rows with column headers that include reservation details, a column to indicate which reservation is the coordinator, a column to indicate if the guest stay is a part of a shared reservation, and a column to indicate if the guest stay record has additional guests.
  • The Reservation Details section provides the details for the guest stay and the room plans.
  • The Guarantee section provides the details for the payment source regarding the guest stay.
  • The Additional Guests / Shares section: This section is used to add additional guests or shares to an existing reservation or to the reservation that is being created. You can classify the reservations that you want to add to the guest stay record, either as an Additional Guest or a Share.
  • Select the Share check box, for adding the guests specified in the Additional Guests/Shares section to the Shares tab.
  • A shared reservation is created with rate plan defaulted from the Share Master.
  • If this checkbox is cleared, the guest specified in the Additional Guests/Shares section is added to the Guest Details section on the Guest Details tab. If you specify the passport number for an additional guest, then the guest is added to the Guest Details section on the Guest Details tab.
    Note: Rates for Shares: By default, when shares are created the Even Split method is used to split the rate. In Even Split method, the system uses the number of payers. The Share Master Rate is divided by the number of payers for the date. The result can be a total that is not equal to the share master rate. If the total is not equal to the share master rate, the last guest's rate is adjusted accordingly. The VVIP functionality is applied to this tab of Guest Stay screen for the selected records.
