Adding preferences to a guest stay

The Preferences tab is used to add and maintain any preferences the guest may have during their stay. Guest preferences can originate from various sources such as account sales, managers, the guest, or an associate of the guest. Guest preferences for the property and brand that exist on associated organization profiles, booking agency profiles, or group bookings will automatically be copied to the guest stay. Guest preferences can be notations of delivery of complimentary amenities, room locations, special facilities and more. Guest preferences are created on the Guest Preferences page. Guest preference codes may be configured with a department code, they may also contain descriptors from which you must make a selection. Optionally you can save the selected guest preference to the guest's profile so that any subsequent reservations made using the guest profile will have the guest preference automatically associated.

Guest preference codes that are available for selection will include those configured as global, those associated to the property's brand, and those specified as property preferences. See Configuring guest preference codes and Adding property preferences.

  1. Select Front Desk > Guest Stay.
  2. Select the guest stay record, click the Preferences tab.
  3. In the Preference Details section do one of these steps:
    • Add a preference individually: Click the Preference Search button in the Preferences field and select a preference code, then click OK. If the preference code selected has associated descriptors the Descriptor field is required, and you must select a descriptor code.
    • If a Guest Preference has a Descriptor marked as Default, the Descriptor will default to the Descriptor field when the Guest Preference is added. The User can accept the Default Descriptor or select a different Descriptor.
    • You can optionally specify Descriptor Details. Click Save.
    • Add multiple preferences at once using the Select Preferences pop-up: Click the Actions button and select the Select Preferences option. The Select Preferences pop-up will display allowing you to select one or more preferences at once. Preference codes with associated descriptors will display a selection for each preference/descriptor combination. Click Submit. You can optionally specify Descriptor Details for a preference by selecing the preference row, then specifying the details in the Preference Details section and clicking Submit.
    Note: Select the Save to Profile check-box to save the preference to the guest profile. This option is available when adding a preference individually, or when adding multiple preferences at once. When the preference is saved to the guest profile, any future reservations or walk-ins using the profile will automatically contain the preference.
  4. Click Remove Record and then Save to delete a preference from a guest stay, select the preference from the list.
