Duplicating guest reservations

Click the Duplicate Reservation button in the Actions toolbar to create duplicate copies of an existing reservation record. The Duplicate Reservation button allows you to create one or multiple new reservations with identical data. The enhanced experience items if present on the original record, are also copied to the new duplicate reservations that are created. The new duplicate reservations that are created also include the data from the following tabs:

  • Guest Details
  • Preferences
  • Auto Transfer
  • Notes
  • Messages
  • Documents

Note the following important points:

  • You can duplicate a guest stay record to create new reservations only when the Guarantee Method or Settlement Type is not a credit card.
  • You can duplicate a reservation that is in the Reserved status only.
  • The new duplicate reservations will include the room type and rate plan that were assigned originally to the guest stay reservation that you want to duplicate.
  • The maximum number of duplicate reservations that can be created is based on the following property parameter:

  • The total number of new duplicate reservations that are created depend on the house availability for that specific room type and rate plan. For example, if you want to create ten duplicate reservations, but only seven reservations are available; the system creates seven reservations only. A message is displayed that seven out of ten records are created.

To create new duplicate reservations:

  1. Select Front Desk > Guest Stay.
  2. Select the record that you want to duplicate to create new reservations.
  3. Click the Record View tab.
  4. Click the Duplicate Reservation button on Actions tool bar.
  5. In the Duplicate Reservation pop-up, specify this information:
    Copies
    The number of new duplicate reservations that you want to create.
  6. Click Save to start the process to create new duplicate reservations.
    Note: 
    • When a guest stay reservation that is linked to an Add-on package is duplicated, the package name is only duplicated if the add-on items (linked to the add-on package) are duplicated.
    • You can duplicate a reservation only if the Room Type is available. However, if the Ignore All Restrictions check box is selected on the Guest Stay screen the reservation can be duplicated.
    • The Invited for Check-In check box is not selected when reservation is duplicated.
