Reservation status

A guest stay reservation can be assigned one of the following status:

  • No Show: A guest with reservation in the hotel but who fails to arrive.
  • Waitlist: A guest for whom the reservation is not yet confirmed. The Waitlistbutton is enabled for a new reservation. Click the button to save the reservation with the status set to Waitlist. By default, the Waitlist Priority field is set to value ninety nine. You can modify the value.
  • Reserved: A guest with a confirmed reservation.
  • Checked-out: A guest who has vacated the property.
  • In-house: A guest who is currently occupying a room in the property.
  • Cancelled: A guest who cancelled the reservation.
  • Pre-registered: A guest who has not checked-in yet. You can pre-register a guest only when the arrival date is same as the hotel date and a room is assigned for all the days a guest plans to stay.
    Note: Properties can use Pre-register in different ways and is completely optional. For example, many properties use Pre-register when a guest comes for check-in but his room is not ready yet. The front desk pre-registers the guest as an indication that the guest is on the property premise but has not been checked-in yet. The pre-registration alerts housekeepers that a guest is waiting for a room to be cleaned. Some properties use it to indicate the guest is on his way. It is a status in between the reserved and check-in stages.

Possible scenarios

Explained below are some scenarios that can occur when you change the status of guest stay reservation.

  • Update Waitlist to Reserved: When you update a reservation that is in the Waitlist status to the Reserved status, the Waitlist Priority field is cleared, house availability is updated and the status of the reservation is set to Reserved.
  • Update Reserved to Waitlist: When you update a reservation that is in the Reserved status to the Waitlist status, the Waitlist Priority field is populated with a default value of 99, the room assignment is removed, house availability is updated to reduce pickups as if the reservation is cancelled and the reservation is saved with the status set to Waitlist.
    Note: You cannot update a reservation from Reserved to Waitlist, if:
    • Folio balance is not zero.
    • Advance deposit exists.
  • Update Reserved share component to Waitlist status: When you update a guest stay reservation that is part of a Share in the Reserved status to the Waitlist status, the guest is removed from the share, the Room field is cleared, and the status is updated to Waitlist.
  • Update In House to Reserved status: When you modify the status of the guest reservation from In-house to Reserved, the application displays the Undo Check-in screen. You must revert the Payment Authorization and Settlement Details. You must update the room status.
    Note: If the Room or Room Type is Virtual then the Room Status is set to Clean.
  • Join Guest Stay – Share does not exist – Joiner is Waitlist: When you join a guest stay in the Waitlist status which is not part of a Share, to another existing reservation in the Reserved or In-house status to create a Share, the joining reservation is updated to the Reserved status and the Waitlist Priority field is cleared.
  • Join Guest Stay – Share Master Exists – Joiner is Waitlist: When you join a guest stay in the Waitlist status which is part of a Share, to another existing Share Master in the Reserved or In-house status , the joining reservation is updated to the Reserved status and the Waitlist Priority field is cleared.
  • Join Share – Share is Waitlist – Joiner is Reserved: When you join a guest stay in the Reserved or In-house status, to another existing Share Master in the Waitlist status, the operation is not allowed by the system.
