Room Plan

Use the Room Plan screen to view room availability by room number and status. You can also manage the rooms that are linked to in-house guests, walk-ins, of current day departures,and out of order rooms. You can also perform various operations such as Update Room Status,Create Guest Stay, Create Work Order and Create Manual Room Hold.
Note: 
  • The property parameters ROOMPLANCONFIRM, AUTOCHECKIN, BESTWEST, GENDERMANAGEROOMS, and USEGUESTRATING, VVIP, and MASKPERSONALINFORMATION can be used to perform the search.
  • The options such as Check-In, Check-Out, and Walk-In Guests are not available if the Install BESTWEST install parameter is selected.

You must select a room type for which the Run of House check box is not selected in the Room type screen.

The screen consists of:

  • Search Criteria: Specify the information to view room availability. See Searching a room using the Room Plan screen
  • Grid: You can view the list of rooms (search result) based on the searched criteria. The grid also includes the calendar and displays the room availability for the next 14 days.
  • Unassigned Guests: You can view the Reserved guest stay who are arriving on the current date without a room assigned.
  • Legend: Displays the key and the reference in the grid.

The additional information to use the screen:

  • The reservation month can be selected between the current month or 11 months. By default, the current date and month is displayed in the first column.
  • The date and month can be selected to view the availability.
  • Rest the pointer on the number to view the room properties. When an attendant selects Cleaning Started, the Attendant icon and the Cleaning start time is displayed.
  • The new Room Type changes are displayed, if the Room Type is on the Room Configuration screen for the specified inventory date range. The application displays only the rooms with Unit Type set to Room or Suite.
  • Rest the pointer on the guest stay in the calendar grid to view the guest stay details such as Confirmation Number, Arrival and Departure dates; room details such as Rate, Rate Plan, Do Not Move icon and Do Not Move Reason, VIP. You can view details of Lease such as Lease Rate, Daily rate, and status of the room for a guest stay, to easily identify and upgrade the guests based on their paying rate.
    Note: 
    • The Do Not Move icon is displayed if the Do Not Move check box is selected on the Guest Stay screen.
    • The Do Not Move Reason field is displayed if a Do Not Move Reason is added to the Guest Stay.
    • If the Guest Stay Departure Date is equal to the Hotel Date, the Do Not Move and Do Not Move Reason are not displayed.
  • Rest the pointer on the guest stay in the calendar grid to view the guest stay details. You can click F2 to focus and click the link to open the Guest Stay screen.
  • Rest the pointer on the lease room hold in the calendar grid to view the lease details. You can click F2 to focus and click the, lease name link to view the Lease screen.
  • Rest the pointer on the work order in the calendar grid to view the work order details.
  • Drag and drop a reservation from the Unassigned Guests section to a room number in the calendar grid to assign a room.
  • Click the Unassigned Room Calendar option to displays the unassigned guests for the selected date.
  • The value in the Average Nightly Rate field and the Status can be used to comp, upgrade or block room.
  • Right click the room number and select Update Room Status to update the room status.
  • Right click the room number and select Walk-In Guests to create a walk-In reservation.
  • Select an in-house guest and the guest stay to a vacant room in the calendar grid to a different room. If the room is dirty a message will display. Leased rooms cannot be moved. Group reservations cannot be moved. If the property parameter ROOMPLANCONFIRM is selected, a confirmation message for the room move is display.
  • Right-click and select Create Guest Stay to create a reservation for the arrival date in the calendar grid.
  • Right-click on the selected date and select Create Work Order to create a work order for the room in the calendar grid. Only minor work orders can be created on occupied rooms.
  • Right click and select Create Manual Room Hold to create a manual room hold for the selected a date in the calendar grid.
  • Right-click on the selected guest stay and select Folio Wizard to view the Folio Wizard screen.

  • Extend or shorten a guest stay by dragging to a new departure date.
  • Right click the guest stay and select Check-In to check-in the guest.
  • Right click on the guest stay and select Check-Out to check out the guest
  • Right click the guest stay and select Add-Ons to include Add Ons.
  • Right click a guest stay and select Unassign Room to remove a room.
  • Right click on the guest stay and select Stay Wizard to modify the guest details.
  • Right click the share in the calendar grid, select Update Shares to manage shares.
  • Right click the share in the calendar grid, select Show Shares to view share details.
  • Right click a lease room hold to view a list of all tentative leases for the room.
  • Right click a leased room in Definite status and select Lease to view the lease record.
  • In Assigned Guests section, the following fields are displayed:
    • ID Number: The number on the identification document is provided. The Passport Number is masked if the value of the property parameter MASKPASSPORTIDNUMBER is set to ID.
    • Service: The branch of the armed forces to which the guest belongs to. For example, Air Force, Navy, Army and so on. This field is used by US Military only.
    • Rank: The rank of the guest. This field is used by US Military only.
    • Pay Grade: The pay grade of the guest. This field is used by US Military only.
    • Rating: The guest rating. The guests are limited to room types within their rating. This field is used by US Military only.
    • Gender: The gender of the guest who occupied the room.

    • This screen applies the VVIP functionality.
  • When you modify the Room Plan, or Room Type, or Loyalty Level for the guest reservation, the application reviews the Amenities Template to check if any Amenities must be added to the reservation.
    • The Amenity Template is associated with the reservation based on the Apply Template Rule field in the Amenities Templates screen.
    • The Arrival Date of the guest reservation must be same or within the Amenity Start Date and Amenity End Date.
  • If the Incognito check box is selected for a guest, the user must have Incognito Authorization to view the Guest Name and the Account details. See Incognito Functionality.

  • The outline of the grid is highlighted to indicate that the rooms are assigned to a guest for specific date(s). The Outline Color field must be set to a specific color on the Guest Stay screen for a guest reservation.
