Vacant Lease Report overview

This report lists all definite leases that do not have a guest stay for every day of the selected date range.

The Lease Number, Room Type, Room, Lease Name, Lease Category, Lease Start and End Dates, Release Date, Vacancy Start Date and Vacancy End Date are printed on the report.

You can filter the report by property, room type, and lease category. You can sort the report by room type, room number, start date, or lease name.

The following are some of the important points to be noted:

  • To get the vacant periods, the report starts with all guest stays for the lease that are within the report dates.
  • When shares exist, the share master is used.
  • The report will order the guest stays by arrival date. If the first arrival date is after the lease start date and the report start date, the first vacant period is from the greater of the lease start date and the report start date to the arrival date -1.
  • Subsequent gaps are from the departure date of one guest stay to the arrival date -1 of the next guest stay. If departure date equals the next arrival date -1, the stays are back to back and there is no gap.
  • If the last guest stay departure date -1 is less than the lease end date or report end date, the last gap is from the guest stay departure date to the lesser of the report end date and the lease end date.
  • When the Lease Managed Shoulder Periods option is selected in the Lease Configuration screen, the lease start date and lease end date use the shoulder start date and shoulder end date if specified.
  • The report displays the Release Date column with the lease’s released date. For un-released lease, this column is not specified.
    Note: This information is defaulted from the Status field as specified in the Lease Screen.
  • The lease related data for these status is displayed in the generated report for the specified date range:
    1. Complete
    2. Definite
    3. Release
