Active Lease Vacant Room Report overview

This report lists all active leases in which the leased room is vacant with guest stay information that is most relevant to the lease. The report is used to determine if the leases with vacant rooms need to be modified. For example if the room was leased by an individual guest (not a company or agency) and the guest checks out early, the property may wan to change the lease end date in order to make the room available to sell.

The guest stay information shown will be for the next incoming guest, if none exist the report will show the last guest checked out. If no future or past guests exist the report will show cancelled guest stays with the latest departure date.

The room number, lease name, lease number, lease category, lease period start and end dates, the incoming guest name, incoming guest arrival and departure date, incoming guest's status, rental amount, rental invoice number, and lease notes are printed on the report.

You can filter the report by property and room type. You can optionally show invoiced leases, show in-house guests only, and include lease upgrades. You can sort the report by room type, room number, lease period start date, or lease name.

The following are some of the important points to be noted:

  • The lease dates must overlap with the hotel date.
  • The lease status must be definite.
  • The lease period dates must overlap with the hotel date.
  • When the Lease Managed Shoulder Periods option is selected in the Lease Configuration screen, the shoulder periods are considered lease dates. The shoulder start and end dates will be used as the lease period start and lease period end. The report will compare the shoulder start and end dates, instead of the lease start and end dates.
  • The report displays the Rental amount excluding the fee amount for the type Hire, Maintenance or Service if the Posting Option is set to Included in Rental on the Lease screen. For example; If the Rental amount for a lease is 2000.00, the Hiring Fee amount is 50.00, the Service Fee amount is 100.00 and the Posting Option set to Included in Rental, the report must display 1850.00 (2000-100-50) as the Rental amount.
