Departure List Report

This report lists the guests who are due to depart within the specified date range and gives a summary total of guests and reservations. The report includes records where the guest stay record matches the report parameters regardless of current account status. This allows a property to create a list of guest that were due to depart in the past, or will be due to depart in the future depending on the date range specified. The report is a view of a guest account's departure date only. The report does not display additional information to indicate any type of scheduled room or rate changes that might have taken place during the stay. The report includes the room number, guest name, VIP level, account, arrival and departure dates and times, number of guests, room type, rate plan, rate amount, settlement code, share ID, organization, group ID, group name, market segment, and loyalty membership level. You can also view additional guest information such as VIP level and relationship. The report includes a summary for total reservations, total guests, and total rooms.

You can filter the report by specifying room type, group confirmation, VIP code, group, loyalty membership level, building, floor, wing, and market segment. You can optionally include specific guest statuses, additional guests, guest notes, reservation notes, notes, and loyalty membership level. You can optionally show rates and package rates. You can limit the report to only VIPs. You can sort the report by account, name, room, departure date, building, floor, or wing.

The following are some of the important points to be noted:

  • If multiple values are entered on multiple fields on the report parameter screen and at least one value is in conflict with another value, no records will be returned.
  • If a guest account has multiple booking agencies, and the report is not being filtered by booking agency, report displays the primary booking agency.
  • If an account has a scheduled room move during the reports requested date range, the report will display additional rows with just the room information and number of days at the new room type or room number.
  • The No. of Guests field displays the number of adults, then the number of children.
  • Specify the Track code. The records that have this specified Track code are included in the report. You can select more than one Track code.
  • Specify the Geographic code that is associated with the location. The records that have this specified Geographic code are included in the report. You can select more than one Geographic Code.
  • If the Show Package Rates check-box is not checked, the report will only show the room amount where the rate is a part of a package.
  • If Show Rates is not selected the report will not include the Rates report column.
  • If Include Guest Notes is selected the report will include the guest notes enterend in the Guest Notes field of the guest stay record.
  • If the Include Additional Guest checkbox is selected, the report includes the relationship of the additional guests with the primary guest as specified in the Guest Stay screen.
  • If Include Notes is selected the report will include the notes entered in the tab of the guest stay record, but will not include notes marked as private.
  • If a guest stay record is part of the Share reservation, the guest stay record is counted in the following manner:
    • Total Reservations: The guest stay record is included in the column’s count.
    • Total Guests: The guest stay record is included in the column’s count.
    • Total Rooms: Only unique rooms are counted. If a room is not configured on a guest stay record, the report counts each guest stay record which is not part of the share reservation, as a single room. If a room is not configured on a guest stay record, and the record is part of a share reservation, only the Share Master is counted and not the individual shares that constitute the share master. If the existence of share master cannot be determined, only one share constituent is counted.

  • The report also applies Incognito enhancement. See Incognito Functionality

These calculations are performed:

  • Total Guests = sum of guests.
  • Total Reservations = sum of records listed on the report.
  • Total Rooms = sum of records listed on the report.
