Arrival List Report

This report lists the guests arriving within the selected date range and gives a summary total of guests and reservations. The report includes records where the guest stay record matches the report parameters regardless of current account status. This allows a property to create a list of guest that have arrived in the past, or will be arriving in the future depending on the date range specified. The report is a view of a guest account's arrival date only. The report does not display additional information to indicate any type of scheduled room or rate changes. The report includes the room number, guest name, organization, group confirmation, group name, group ID, VIP level, arrival and departure dates and times, number of guests, room type, market segment, rate plan, rate amount, settlement code, share ID, status, and lease number. The report then gives a summary for total reservations, total guests, and total rooms. The additional guest details such as VIP Level, arrival date, departure date, and relationship with the primary guest are displayed in the Additional Guest section. The details of each additional guest are displayed in a single line. The report also includes the relationship of the additional guests with the primary guest as specified on the Guest Stay screen.

You can filter the report by specifying group ID, rate plan, room type, source of business, VIP code, group name, loyalty membership level, building, floor, and wing. You can optionally include specific guest statuses, additional guests, guest notes, reservation notes, notes, and loyalty membership level. You can optionally show rates and package rates. You can limit the report to only include VIPs and/or leases. You can sort the report by confirmation number, name, room, arrival date, building, floor, or wing.

The following are some of the important points to be noted:

  • If multiple values are entered on multiple fields on the report parameter screen and at least one value is in conflict with another value, no records will be returned.
  • If a guest account has multiple booking agencies, and the report is not being filtered by booking agency, report displays the primary booking agency.
  • If a guest stay record is part of a share reservation, the guest stay record is counted in the total guest and total reservations numbers.
  • The No. of Guests field displays the number of adults, then the number of children.
  • If the Show Package Rates check-box is not checked, the report will only show the room amount where the rate is a part of a package.
  • If Show Rates is not selected the report will not include the Rates report column.
  • If Include Guest Notes is selected the report will include the guest notes enterend in the Guest Notes field of the guest stay record.
  • If Include Notes is selected the report will include the notes entered in the tab of the guest stay record, but will not include notes marked as private.
  • If more than one type of note is included, the notes will print below the associated reservation record in this order: guest note, reservation note, account note.
  • If Only Lease is selected the report will only show guest stays with a lease and will display both lease guest accounts with the expected lease name and lease number.
  • This report applies the VVIP functionality.

These calculations are performed:

  • Total Guests = sum of guests.
  • Total Reservations = sum of records listed on the report.
