A/R Aging Details Report

The A/R Aging Details report lists the open invoices for every A/R Account including the account aging, credit limit amount for the A/R account, and the invoice aging. For each invoice, the report displays the list of charges that pertain to the invoice. The aging report categorizes and displays the account balances and other account details based on various aging periods. The aging report allows the A/R managers to plan the future course of action for an account based on the number of days with pending overall A/R balance. The report can display 10 aging periods but only displays the aging periods configured for the property.

You must select the property parameter ARRETAINPOSTDATEONXFER and the CRS application parameter AgingDayBasis must be set to CHARGE to calculate the aging of the transferred charges and payments based on the original posting date.

You can filter the report by account type(s) or sales manager. You can choose to include accounts on credit hold status, accounts in open status, and accounts with zero balances. You can limit the report to only display accounts that are over their credit limit or accounts that are in collections. You can sort the report by account name, account number, account status, report date or account type. You can specify a Report Date to view the aging on that date. You can specify a past date and can also modify it to a future date.

For example, if the current date is 2/7/2014 but you want to view the aging for 1/31/2013. You must specify the Report Date as 1/31/2013:

  • All charge/invoice/payment activity that occurred after 1/31/2013 is excluded from the calculations.
  • All charge/invoice/payment activity that occurred on or prior to 1/31/2013 is aged as if the date is 1/31/2013.

In this screen,if you select:

  • The Age by Month check box, the aging is calculated by the system for each A/R account, based on the calendar month instead of by number of days.
  • The Group by Account Type check box, the report is grouped by the accounts with the same account type and provide a subtotal for each grouping.
  • The Show Invoice Detail the invoice section includes the invoice details. If this check box is cleared, the Invoice section includes none of the invoice details. The unbilled charges and unmatched payments are printed by the system.
  • The Include Lease Deposit Balance check box, the lease deposit details such as the Total Incidental Deposit Balance and the Total Security Deposit Balance associated with the AR account are included in the report.
    Note: These deposits are not included in the Aging process.
