Configuring Amenities Template

The Amenities Template screen enables you to create and configure an amenities template.

Note: 

You can also use the Amenities tab to modify or deactivate the existing amenities.

To configure the amenities template:

  1. Select Administration > Property > Amenities Template.
  2. On the Record view Tab, specify the information:
    Item
    The amenity item name and description. This is a mandatory field.
    Category
    The category to classify the amenities.
    Sub Category
    The sub-category associated with the amenity. Only the sub-category values configured for the category are displayed.
    Property
    The property code for which the report is generated. This value is defaulted.
    Note: 
    • You can modify this value.
    • This field is disabled if an existing amenities template is selected.
    Status
    The status of the template. Possible Values:
    • Active
    • Inactive
    Max Amenity Selection
    The maximum number of the amenity items that can be selected simultaneously for a template.
    Note: You can specify a minimum value from 1and a maximum value of 999.
    Start Date
    The date from when the amenities template is active.
    Note: 
    • The Start Date must be on or after the Hotel Date.
    • This field is disabled when you select an existing record with the Start Date prior to the Hotel Date.
    End Date
    The date upto which the amenities template is active.
    Note: 
    • The End Date must be on or after the Hotel Date.
    • This field is disabled when you select an existing record with the End Date prior to the Hotel Date.
    Apply Template Rules
    The rule based on which the template must be applied to the reservations. The available options are:
    • Automatically Apply: Automatically applies the template to Guest Stay reservations if Association of the template is same as of the reservation.
    • Automatically Complete: Automatically applies the items of the template to Guest Stay reservations if Association of the template is same as of the reservation.
    • Manually Apply: The template must be manually applied to the Guest Stay record.
    • Prompt to Apply: Requests the user to apply the template to Guest Stay records if Association of the template is same as of the reservation.
  3. Specify this information in the Association section:
    Player Rank
    The player rank of the guest.
    Reservation Template
    The code and description of the reservation template.
    VIP Level
    The VIP level code of the guest.
    Loyalty Level
    The code of the loyalty level programs which is associated with the template.
    Note: You can select multiple Loyalty Level.
    Rate Plan
    The code of the rate plans which is associated with the template.
    Note: You can select multiple Rate Plan.
    Room Type
    The code of the room types which is associated with the template.
    Note: You can select multiple Room Type.
  4. Review this information in the Record Details section:
    Created On
    The date on which the Amenities Template is created.
    Created By
    The ID of the user, who creates the record.
    Updated On
    The date on which the Amenities Template is updated.
    Updated By
    The ID of the user, who updates the record.
  5. Click Save.
  6. Specify this information in the Amenities tab:
    Item
    The amenity item name and description.
    Note: 
    • You Can also filter the items based on the dates. The Item look up displays the items for which the start date is the same as or prior to the template End Date.
    Quantity
    The quantity of the amenity item.
    Frequency
    The frequency to schedule the amenities for the guest reservation.
    Control
    The level or criteria to determine the restrictions applicable for the amenities.
    Status
    The status of the template.
    Notification Department
    The department responsible for the notification regarding the amenity item.
    Delivery Department
    The department responsible for the delivery of the amenity item.
    Retrieval Department
    The department responsible for the retrieval of the amenity item.
  7. Click Add Comment on the Comments tab, to add the information related to the template.
  8. Click Add Document on the Documents tab, upload or attach the documents to the template.
