Generating Occupancy Statistics Report

The report can be used to get historical or forecast data, or a combination of both.

To generate the report:

  1. Select Administration > Reports > Forecast and Availability > Occupancy Statistics Report.
  2. Specify this information, in the Report Parameters section:
    Property
    The property to view the records of the booking agency.
    Group By
    The group by code assigned to the reservation.
    Group By Codes
    Based on the Group By code, this field can be set with the linked attributes. For example: If Group By is set to Country By Residence, this field displays the list of countries available in the application.
    Group Status
    The group reservation status code. These are the available options: Checked Out, Definite, In House, and Tentative.
    Building
    The building code assigned to the room.
    Output Format
    The format used to print the report.
  3. Specify this information, in the Report Options section:
    Include Zero Values
    If this checkbox is selected, the report includes only the Group By codes that are not applied to a reservation or group booking for the date range specified in the report.
    Include Day Use in Revenue
    If this checkbox is selected, the report includes the day use room revenue in the Room Revenue column, but not included in Rooms Sold, or in guest counts.
    Include Day Use in Rooms and Revenue
    If this checkbox is selected, the report includes the day use room revenue in the Revenue column, and day use rooms are included in the calculation for Rooms Sold and guest counts.
    Include Lease Reservations
    If this checkbox is selected, the report includes lease reservation information for the guest stay. :
    Include Un-Reserved Lease
    If this checkbox is selected, the report includes the unreserved lease information for the guest stay. The unreserved lease data with these status is displayed:
    • Definite
    • Released
    • Complete
    Note: The lease status is defaulted from the Lease screen.
    Include Tentative Leases
    If this checkbox is selected, the report displays the reserved lease column with reservation information that is associated with a lease.
    • The unreserved lease column with lease information and has a status set to Tentative.
    • The lease related data for these status is displayed in the generated report for the specified date range:
      1. Complete
      2. Definite
      3. Release
    Note: This value is defaulted from the status specified in the Lease screen.
    Show Contract Columns
    If this checkbox is selected, the report displays the Contract Pickup and Contract Remaining Columns against the reservations.
    Include Contract Reservations
    If this checkbox is selected, the report displays the Room Revenue, guest details and other reservation details for Contract Pickup reservations in the Room Revenue Column.
    Include Remaining Contract
    If this checkbox is selected, the report displays the Room Revenue, guest details and other reservation details for Contract remaining in the Room Revenue Column.

    Contract remaining is the amount that is left after deducting the picked up rooms from the total allocated rooms for the booking contract.

    Show Group Columns
    If this checkbox is selected, the reports includes the Contract Pickup Rooms column.
    Include Group Reservations
    If this checkbox is selected, the report includes Group Pickup reservations in the Arrival column.

    If this checkbox is selected, the report includes the Room Revenue for Group Pickup reservations is included in the Room Revenue column.

    If this checkbox is selected, the report includes the Adults and Children of Group Pickup reservations in the Guest column.

    Include Remaining Group Block
    If this checkbox is selected, the report includes the Group Remaining blocks information in all the columns (Guest, Arrival, Stayover, Revenue) of the report.
    Include Transient
    If this checkbox is selected, the report includes the Transient reservation information in all the columns (Guest, Arrival, Stayover, Revenue) of the report.
    Report Revenue as Net
    If this checkbox is selected, the report includes the net amount of the revenue for the guest reservation.
    Summarize by Date
    If this checkbox is selected, the report includes the summarized revenue data for the date range. The Date column includes the Start Date and the End Date of the report.
    Group By Building
    If this checkbox is selected, the report includes information related to building, wing and floor. The report is grouped by the building code and includes the associated Reservation data.
    Note: 
    • The report is categorized based on the building defined at the Room Type level.
    • If the rooms have no building assigned, ‘No Building’ text is displayed in the report.
    Use Group By Description
    If this check box is selected, the report includes the description of the Group by code specified in the Group By field. For example, if the value of Group By is MS the description of Market Segment (MS) is included in the report.
    Include Complimentary in ADR
    If this check box is selected, the rooms with Complimentary rates are included in the calculation of the ADR (Average Daily Rate).
    Include House Use in ADR
    If this check box is selected, the rooms with House Use rates are included in the calculation of the ADR (Average Daily Rate).
    Note: 

    The House Use column is included in the report when generated in Excel.

    Include Complimentary
    Select this check box to consider the complimentary rooms for the calculation of the sold rooms, room revenue and ADR (Average Daily Rate).
    Note: The number of the Complimentary reservations is displayed in the report.
    Include House Use
    Select this check box to consider the house use rooms for the calculation of the rooms sold, room revenue and ADR (Averages Daily Rate).
    Note: The number of House Use reservations is displayed in the report.
  4. Select the Summarize Context option to include the total occupancy in the report. Available options:
    • No Summary: The report displays a comprehensive (Grand) total. If the specified Date Range spans historical and forecasted dates, the report includes a historical total, a forecast total and a Grand Total.
    • Summarize by Date Range: The report displays a comprehensive (Grand) total for the specified Date Range inclusive of the Start Date and End Date.
    • Summarize by Month: The report displays a sub total for each month and a comprehensive (Grand) total for the specified Date Range inclusive of the Start Date and End Date.
  5. Specify the Start Date and the End Date in the Date Range field.
  6. Click Print Record.
