Generating the best western arrival with details

  1. Select Administration > Reports > Front Desk > Arrival/Stay Over/Departure/In-House > Best Western Arrival List.
  2. Specify this information in the Report Parameter section:
    Property
    The code of property for which the report is generated. The application defaults the value to the current session. However, you can modify this value.
    Booking Agency
    A unique number of the booking agency associated with the guest records.
    Confirmation Number
    A unique confirmation number of the guest stay which is included in the report.
    Note: You can select multiple Confirmation Number.
    Group Confirmation
    The confirmation number of the group. The report includes the selected guest records.
    Note: You can select multiple Group Confirmation from the Groups screen.
    Guarantee
    The guarantee code associated with the guest stay which is included in the report.
    BWR level
    The code of the Best Western Reward associated with the guest which is included in the report.
    Organization
    The identification number of the organization associated with the records which is included in the report.
    Preference Type
    The code of the preference type which is included in the report.
    Preference Code
    The code of the preference associated with the selected Preference Type.
    Note: You can select multiple Preference Code.
    Rate Plan
    The code of the rate plan linked to the guest stay which is included in the report.

    Room Type
    The code of the room type associated with the reservation which is included in the report.
    Note: You can select multiple Room Types from the Room Types screen.
    Source of Business
    The code for the source of business.
    Status
    The status of the reservation.
    Note: You can select multiple Status from the Statuses screen.
    VIP
    The code of the VIP levels.
    Note: You can select multiple VIP levels.
    Start Time
    The starting time of the arrival based on which the records are included in the report.
    End Time
    The final departure time based on which the records are included in the report.
  3. Set these parameters in the Report Option section:
    Include Additional Guests
    Select this check box to include the details of the additional guest associated with the reservation.
    Include Address
    Select this check box to include the address specified on the guest stay record.
    Include Birthday
    Select this check box to include the guest’s birth date specified on the guest stay record.
    Include Guest History
    Select this check box to include the stay details history of the guest.
    Include Guest Notes
    Select this check box to include the text specified in the Guest Notes field of the Guest Stay record.
    Include Notes
    Select this check box to include the notes specified on the Notes tab of the Guest Stay.
    Note: Notes for which the Private check box is selected on the Guest Stay screen, are not included in the report.
    Include Activities
    Select this check box to include the details of the activities scheduled for the guest.
    Include Preferences
    Select this check box to include the preference code of the guest stay specified in the Preference tab.
    Include Reservation Notes
    Select this check box to include the text specified in the Reservation Notes field of the Guest Stay record.
    Include Rate Changes
    Select this check box to include all the rate changes that are defined for the rate plan associated with the reservation.
    Include Rooms Assigned
    Select this check box to include the records with Room fields that are configured for the guest stay.
    Include Rooms Unassigned
    Select this check box to include the records with Room fields that are not configured for the guest stay.
    Only Advance Deposit Posted
    Select this check box to include the record if the status is set to ‘Reserve’ and the guest stay is posted with an advance deposit.
    Only Zero Rates
    Select this check box to include the record if the specified rate is zero on the guest stay record.
    Show Package Rates
    Select this check box to include the package rate plan associated with the guest record.
    Show Rates
    Select this check box to include the room rate associated with the guest record.
    Note: By default, this check box is selected.
    Group By Building
    Select this check box to group the records based on the building associated with the guest record.
  4. Specify the Start Date and End Date in the Date Range section. The records are included based on the Arrival Date of the guest stay record, which is within the specified date range. .
    • The report includes guest records with Reserved status if the values are not specified.
    • By default, the value is current Hotel date.
  5. Click Print Record.
    Note: 
    • You can sort the records based on the Confirmation Number, Name, Room, Arrival Date, Status, and BWR Member , fields by selecting the option in the Sort By section.
    • By default, the records are sorted based on the Name field.
