Generating Arrivals with Details Report

This report displays the list of detailed information about each guest arriving within the date range as specified in the report layout.

The report includes:

  • A summary of the total number of guests and reservations.
  • The records where the guest stay record matches the report parameters irrespective of current account status.
  • A property that is allowed to create a list of guests arrived in the past, or guests who arrive in the future dates range specified.
  • The hotel room, building, floor, wing, guest name, address, VIP level, loyalty membership level, advance deposit, group confirmation, arrival date and time, departure date and time, number of guests, share ID, guarantee code, settlement code, status, room type, market segment, rate plan, type, rate plan, rate amount, settlement code, share ID, status, guest history information, guest birthday, and preferences.
  • A summary for the total guests, and total reservations.
  • The player rank information when the property parameter CMSINTG is selected.
  • The details related to the additional guests such as VIP Level, arrival date, departure date, and relationship of the primary guest, are displayed in the Additional Guest section. The details of each additional guest are displayed in a single line.

To generate the report:

  1. Select Administration > Reports > Front Desk > Arrival/Stay Over/Departure/In-House > Arrival with Details Report.
  2. Specify this information, in the Report Parameters section:
    Property
    The property to view the records of the booking agency.
    Booking Agency
    The booking agency type. The available options are based on codes created as organization type codes on the Maintain Global Codes screen.
    Confirmation Number
    The confirmation number generated for the guest stay.
    Group Confirmation
    The code to represent a group confirmation.
    Guarantee
    The name of the guarantee method.
    Loyalty Membership Type
    The loyalty program code.
    Organization
    The organization type. The available options are based on codes created as organization type codes on the Maintain Global Codes screen.
    Preference Type
    The guest preference code type. The guest preference type can be Global, Property, or Brand.
    Preference Code
    The guest preference code that identifies special requests, services, or amenities guests require during the stay.
    Rewards Program Type
    The internal or external rewards programs that enable guests to earn points, miles, and membership benefits based on the customer loyalty.
    VIP
    The VIP level code.
    Start Time
    The start time to initiate the report generation.
    End Time
    The time to complete the report generation.
    Rate Plan
    The rate plan code. The report includes all the reservations for the selected rate plan.
    Room Type
    The room type to view the report information.
    Source of Business
    Select the source type from the available options such as Third Party, Corporate, Sales Department, Travel Package and others.
    Building
    The building code assigned to the room based on which the report only includes the rooms that are matched.
    Floor
    The floor code assigned to the room based on which the report only includes the rooms that are matched.
    Wing
    The wing code configured to the room based on which the report only includes the rooms that are matched.
    Loyalty Membership Level
    The loyalty level associated with the guest.
    Status
    The status of the guest stay.
    Market Segment
    The market segment code. The report includes all the reservations for the selected market segments.
    Note: You can select multiple market segments.
    Track
    The Track code associated with the market segments.
    Note: 

    You can select more than one Track code for a market segment.

    Geographic Code
    The Geographic code associated with the location.
    Note: 

    You can select more than one Geographic code for a location.

  3. Specify this information, in the Report Options section:
    Include Additional Guests
    If this checkbox is selected, the report displays the details of secondary guests added to the room.
    Include Address
    If this checkbox is selected, the report displays the details of guest address as provided in the Guest Stay record.
    Include Birthday
    If this checkbox is selected, the report displays the details of guest’s date of birth.
    Include Guest History
    If this checkbox is selected, the report displays the lifetime revenue, lifetime nights, lifetime stays of the guests, and the last stay property.
    Include Guest Notes
    If this checkbox is selected the report displays the guest notes provided in the Guest Notes field of the Guest Stay record.
    Include Reservation Notes
    If this checkbox is selected, the report displays the reservation notes provided in the Guest Stay record.
    Include Rate Changes
    If this checkbox is selected, the report displays all rate changes on a separate line in the arrival information for the guest. The report displays all rate changes for the length of the reservation. If the checkbox is cleared, the report displays the average rate of the guest stay for the selected report dates. If the first night of the guest's is before the report start date the report uses the rate from the last night of the stay.
    Include Rooms Assigned
    If this checkbox is selected, the report displays the room numbers assigned for the guest stay.
    Include Rooms Unassigned
    If this checkbox is selected, the report displays guest records with no room number assigned on the Guest Stay record.
    Include Shares
    If this checkbox is selected, the report displays the combined guest count of all the share components.
    Only Advance Deposit Posted
    If this checkbox is selected, the report displays the collection of accounts deposited prior to registration by the guest.
    Only Zero Rates
    If this checkbox is selected, the report displays only the guest records with zero rate provided in the Guest Stay record.
    Include Notes
    If this checkbox is selected the report displays the notes provided in the tab of the Guest Stay record, but does not include notes marked as private.
    Include Preferences
    If this checkbox is selected, the report displays preferences and descriptors existing for the preference specified in the Guest stay screen.
    Only VIPs
    If this checkbox is selected the report displays the details of the VIP guests only.
    Show Package Rates
    If this check-box is selected, the report displays all the room amounts where the rate is a part of a package.
    Exclude Lease Guest Stays
    If this checkbox is cleared, the report displays the guest stays with a lease.
    Exclude Non-Lease Guest Stays
    If this checkbox is cleared, the report displays the guest stays without a lease.
    Include Loyalty Membership Level
    If this checkbox is selected the report displays the details of the loyalty level related to the guests as provided in the Guest Stay record.
    Show Rates
    If this checkbox is selected, the report displays the Rates report column.
    Group By Building
    If this checkbox is selected, the report displays the records as Building sections. The grouping is sorted by Building Code and the Building Description is used for the section heading.

    If any Rooms do not have a Building assigned the records for these rooms are included in a section as No Building.

    Include Activities
    Select this check box to include the details of the activities that are associated with the guest stay.
    Note: The cancelled activities are not included.
  4. Select the sort options in the Sort By section.
  5. Specify the Start Date and the End Date in the Date Range field.
  6. Click Print Record.
