Generating the departure list report

  1. Select Administration > Reports > Front Desk > Arrivals/Stay Over/Departure/In-House > Departure List Report.
  2. Specify this information in the Report Parameters section:
    Property
    The property for which the report is generated. The application defaults this value.
    Note: You can modify this value.
    Group Confirmation
    A unique number of the confirmed group reservation. The report includes only the records of the selected confirmation number.
    Note: You can select multiple Group Confirmation.
    Rate Plan
    The code of the rate plan. The report includes the guest records of the selected rate plan.
    Note: You can select multiple Rate Plan.
    Market Segment
    The code of the market segment. The report includes the record, where the market segment associated with the rate plan code is same as the specified market segment value.
    Note: You can select multiple Market Segment.
    Track
    The code of the tracking methods. The report includes the guest record of the selected track.
    Note: You can select multiple Track.
    Geographic Code
    The geographical code of the location. The report includes the guest record of the selected geographic code.
    Note: You can select multiple Geographic Code.
    Room Type
    The room types of the reservation. The report includes the guest record of the selected room type.
    Note: You can select multiple Room Type.
    Building
    The code of the building. The report includes the guest record if the room blocked in the record is linked to the selected building code.
    Note: You can select multiple Building.
    Floor
    The code of the building. The report includes the guest record if the room blocked in the record is linked to the selected floor.
    Note: You can select multiple Floor.
    Wing
    The code of the wing. The report includes the guest record if the room blocked in the record is linked to the selected wing.
    Note: You can select multiple Wing.
    VIP
    The code of the VIP. The report includes the guest record of the selected VIP code.
    Loyal Membership Level
    The loyalty level of the guest. The report includes the guest record of the selected level.
    Gender
    The gender of the guest from the armed force. The available values:
    • Female
    • Male
    • Unknown
    Service
    The type of armed force services. The available values:
    • Air Force
    • Army
    • Civilian
    • Coast Guard
    • Marine Corps
    • Navy
    Pay Grade
    The pay grade of the armed force personnel.
  3. Set these parameters in the Report Option section:
    Include Additional Guests
    Select this check box to include additional guest details associated with the reservation.
    Include Notes
    Select this check box to include the notes specified in Notes tab of the Guest Stay record.
    Note: The private notes are not displayed.
    Include Guest Notes
    Select this check box to include the notes specified in Guest Notes field of the Guest Stay record.
    Include Reservation Notes
    Select this check box to include the notes specified in Reservation Notes field of the Guest Stay record.
    Include Loyalty Membership Level
    Select this check box to include the loyalty level of the guest’s membership.
    Only VIPs
    Select this check box to include only the VIP guest records.
    Show Package Rates
    Select this check box to include the details of the package rate plan such as code, and amount.
    Show Rates
    Select this check box to include the value or heading of the rate.
    Group By Building
    Select this check box to group the records based on the Building.
    Include Gender
    Select this check box to include the Service Demographic for all reservations that have the gender of the guest specified.
    Include Service and Pay Grade
    Select this check box to include the Service Demographic for all reservations that have the Service and Pay Grade value specified.
    Suppress Names
    Select this check box to exclude the guest name, alternate guest name, share guest name and additional guest names for all reservations.
  4. Specify the Start Date and End Date in the Date Range section. The report includes the record if the Departure date of the guest is within the specified date range.
    Note: By default, the value is set to the current hotel date.
  5. Click Print.
    Note: You can select the option in the Sort By section to sort the guest records based on the Confirmation or Name or Room or Departure Date or Building or Floor or Wing. By default, the Name option is selected.
