Searching for a guest profile

Search for a guest profile internally, or within an external CRM system.

Note: 
  • The CRM search capability is controlled by the property parameter EXTCRM.
  • If the property parameter CMSINTG check box is selected, you can use the screen to look up guest profile information from either HMS or an external player tracking system.

To search for a guest profile:

  1. Select Front Desk > Guest Stay.
  2. On the List View tab, double-click the guest stay record to work with.
  3. Click Guest Search. The Guest Search page is displayed.
  4. Specify at least one of the search criteria such as the following:
    Player Number
    Specify the player number for which you want to retrieve the profile.
    Loyalty Program Number
    Specify the loyalty program number of the guest profile.
    Note: This search criteria is based on the HMS Internal Loyalty program number, not the Rewards program.
  5. Specify the type of search:
    Option Description
    Internal Search Select Internal Search to search internally.
    CRM Search Select CRM Search to search an external CRM system.
    Note: CRM search requires a last name and one of the following criteria: email address, loyalty program number, or phone number.
  6. Click Search.
  7. Select the guest profile record.
  8. Click OK. The guest stay record is updated with the guest profile information and the Record View tab is displayed.
    Note: 
    • In case for a new guest, the application defaults the new profile data in the Guest section and the existing data is cleared. This ensures that the guest details are protected as per the GDPR law for data protection.
    • If a restricted account is selected and the associated user group has the Restricted Override field on the User Group screen is set to Enabled, a warning message is displayed. If the Restricted Override field is set to Disabled, an error message is displayed and the profile data is cleared.
