Adding group booking notes

To add notes to a group booking:

  1. Select Group Sales > Group Booking.
  2. On the List View tab, select a group booking.
  3. Click the Notes tab.
  4. In the Notes Detail section, specify the information that you require. See addition information about these field:
    Category
    The classification of the notes.
    Source
    The source where the note is defined for the guest.
    Note: The text message is displayed in the Notes window.
    Display on Check-In
    Select this check box to display the note associated with the guest stay during the check in.
    Display on Check-Out
    Select this check box to display the note associated with the guest stay during the check out.
    Display on Create/Update Reservation
    Select this check box to display the note associated with the group reservation, when a delegate reservation is created or the group is added to the existing reservation.
    Note: For delegate reservation, the note is displayed on the Guest Stay screen.
    Display on Reservation Retrieval
    Select this check box to display the note message when the user searches for an existing reservation.
    Print on Confirmation
    Selecting this check box will set this note to print on confirmation letters of delegates.
    Private Note
    Select this check-box signal to the staff that this is an internal comment.
    Print on Registration
    Select this check box to print the note on the guest registration card.
  5. Click Save.
    Note: 
    • During the delegate reservation process, this note is defaulted on the Note tab of the Guest Stay screen only if the Print on Confirmation and Print on Registration check boxes are selected.
    • You can select the Display on Check-In, Display on Check-Out or Display on Reservation Retrieval check boxes only if the Private Note check box is cleared.
