Adding guest notes

To add notes to a guest stay:

  1. Select Front Desk > Guest Stay.The Guest Stay screen is displayed..
  2. Select the required guest stay record from the List View.
  3. Select Notes tab.
  4. Specify this information, in the Note Details section:
    Category
    Specify the category. Your options are based on codes created as comment category codes on the Maintain Global Codes page.
    Source
    This field indicates where the note originated.
    Print on Confirmation
    Select this check box to have the note print on the guest confirmation letter.
    Private Note
    Select this check box to make the note private.
    Save to Profile
    Select this check box to have the note saved to the guest profile. The Source is set to Profile. The check box is available only when you add a new note.
    Print on Housekeeping
    Select this check box to have the note print on housekeeping reports.
    Display on Check-In
    Select this check box to display the note associated with the guest stay during the check in.
    Display on Check-Out
    Select this check box to display the note associated with the guest stay during the check out.
    Display on Reservation Retrieval
    Select this check box to display the note associated with the guest reservation when the reservation data is retrieved.
  5. Click Save.
    Note: You can select the Display on Check-In, Display on Check-Out, Display on Reservation Retrieval check boxes only if the Private Note check box is cleared.
