Booking an activity

Use this page to:

  • View or Cancel external activities.
  • View, modify, or book internal activities for a guest.
  1. Select Front Desk > Guest Stay > Activities (Actions) > Book Activity.
    Note: 
    • You can also access this screen through Profile > Guest Profiles > Activities (Actions) > Book Activity
    • You can also access this screen through Group Sales > Group Booking > Activities (Actions) > Book Activity.
  2. Specify this information:
    Activity
    Select the activity that you want to book or modify for a guest.
    Folio
    The folio linked to the guest profile. The default value is Guest.
    Status
    Set the status of the activity as Booked.
    Market Segment
    The market segment linked to the activity. This value is defaulted from the Market Segment field in the Activity Configuration page.
    Source of Business
    The business source for the guest. This value is defaulted from the Source of Business field in the Activity Configuration page.
    Track
    The track code of the guest used for the activity configuration. This value is defaulted from the Track field in the Activity Configuration page.
    Provider Name
    The activity provider linked to the activity.
    Folio Comp Configuration
    Use this option to configure the items that are comped by the system when items are posted to the guest folio.
    Note: 
    • This option is enabled only if:
      • The Property Parameter is set to CMSINTG.
      • The Install Parameter CMSPRTNR is set to CAESARS.
      • An Account is associated with the Guest Profile.
    • You can use this option only if a player number is associated with the guest profile.
  3. Specify these fields:
    End Time
    The time by which the activity must be completed.
    Start Time
    The time by which the activity must start.
    End Date
    The date on which the activity must be completed.
    Note: 

    When a folio comp (from the guest stay or guest profile) is associated with the activity booking for a specified End Date and you want to modify the date for the activity booking, ensure that the new End Date must be within the end date of the folio comp. If not, you must adjust the date in the comp folio to modify the End Date of the activity booking.

    Start Date
    The date on which the activity must start.
    Note: For an activity, these fields are visible based on the value specified for the Schedule Type field in the Activity Configuration page.
    Participant Count
    The guest profile ID added to the activity booking as a participant.

    This field supports the VVIP functionality.

  4. Specify this information in the Limo Management section:
    Note: 

    This section is available only when the Activity Type is set to Limo Activity (HMS).

    Car Type
    The car types associated with the provider.
    Car Count
    The number of cars associated with the provider.
    Passenger Count
    The maximum number of passengers for a Car Type.
    Pickup Location
    The pickup location of the guest (sent through a message).
    Drop Off Location
    The drop off location of the guest (sent through a message).
    Airline
    The code and description associated with the service provider.
  5. Review this information on the Scheduling section:
    • If the Schedule Type is set to Daily, the Start Date and End Date fields are enabled. The application defaults the End Date field with the value you specify in the Start Date field.
    • If the Schedule Type is set to Start Time, the Start Date and Start Time fields are enabled.
    • If the Schedule Type is set to Appointment, Start Date, Start Time and End Time are enabled. The application calculates the End Time by adding the Application Duration to the specified Start Time.
  6. Specify the Count in the Guest Types section.
  7. Click Submit. The activity booking Id is generated. You can view the activity on the Activity Booking List page.
  8. You can click one of the icons of the Actions field to perform these actions:
    • View the activity calendar, traces, and bookings.
    • Post the activity to a folio.
    • Print and Email Activity reports and Voucher reports.
      • The Print Voucher check box must be selected to print voucher report.
      • The Guest Activity Report includes the activities of the specific Activity Booking.
