Using Manual Hold

You can use the Manual Hold page to set a room or range of rooms to Manual Room Hold status. You can use this page to block or hold the room. The room that is blocked cannot be assigned to a guest. You can use this room as a show room or hold it for a specific guest. Also, you can use the manual hold to block a room that is part of a suite; so that the component room is not sold and suite stays intact.

Note: You can click Duplicate Manual Room Hold to create one manual room hold for each selected room. The Duplicate Manual Hold screen is displayed. You must specify the room number, Reason, Start Date and End Date to manually block the room. You must click Submit to view the total number of records.

To block the room:

  1. Select Housekeeping > Manual Room Hold.
  2. Click New record.
  3. Specify this information:
    Manual Hold Order
    Specify the description.
    Room
    Specify the room number that you want to put on hold.
  4. Click Duplicate Manual Room Hold to create manual room hold records for every room selected. The total number of records created are displayed.
  5. In the Manual Room Hold Details section, specify this information:
    Reason
    Specify the reason code. You can define the reason codes in the Administration > Configuration > Global Codes.
    Start Date
    Specify the date starting which the room is blocked.
    End Date
    Specify the date on which the room is released.
    Note: If for a specific room, the Attendant in Room check box is selected on the Room Status Update screen, the application prompts with a warning message regarding the presence of the attendant in the room. The user can then determine if the manual room hold must be continued.
    Department
    Specify the department for which the room is put on hold.
    Employee
    Specify the employee who has requested that the room must be put on hold.
    Notes
    Specify the notes if required.
  6. In the Room Details section, specify this information:
    Suite Component
    Indicates if the room is specified as a suite component on the Suite Details tab of the Room Configuration screen.
    Release Room Status
    When creating a new hold, if the start date is the current hotel date the Release Room Status is populated. You can modify the status value. The room is set to the new status value when the room is released. If the start date is in future, you can specify the status to which the room must be set to when released. You can update the room status even when the room is set to the Manual Room Hold status.
    Release Service Type
    When creating a new hold, if the start date is the current hotel date, the Release Service Type is populated. You can modify the service type value. The room is set to the new service type value when the room is released. If the start date is in future, you can specify the service type to which the room must be set to when released. You can update the service type even when the room is set to the Manual Room Hold status.
