Viewing group availability

The Group Availability screen enables you to view a property's availability information for group bookings during the pre-selling of rooms during reservation and during the assignment of rooms during check-in.

To view group availability:

  1. Select Group Sales > Group Availability. The Group Availability screen is displayed. The Summary section displays the number of rooms available. The % Available and % Sold rows in the grid show the daily percentage values for rooms available and sold. By default, the calendar grids in both the Summary and Group Availability sections display a visible date range beginning with the current business day through the next six business days. You can modify the date range displayed as necessary using the interactive Calendar section in the left section of the screen.

    The Group Name column on the Group Availability tab displays a list of all the groups that have reserved a block of rooms for the displayed date range.

    By default, availability is displayed for the current property. Use the Property section in the lower left section of the screen to select a different property as necessary.

    Within the calendar grid on the Group Availability tab, the grid block for each day displays the total number of Blocked Rooms, Picked Up, and Remaining rooms in three columns to indicate the room types that are holding the rooms. As indicated by the legend above the calendar grid, the Blocked Rooms are displayed in black, the Picked Up rooms are displayed in red, and the Remaining rooms are displayed in blue.

  2. Click the Total Group Rooms hyperlink to display a full list of Groups that affect room availability for the displayed date range.
  3. To view availability for one of the groups that have reserved a block of rooms for the displayed date range, click the hyperlink of the group's name in the Group Name column.
  4. Click the Back to All Groups hyperlink to return to the default Group Availability display.
