Room assignment using Auto Assign

The auto assign process assigns rooms to reservations that meet the search criteria and that do not already have a room blocked. The auto assign process matches the room attributes to the reservation preferences. When a match between a room attributes and reservation preferences is determined by the system, the room is assigned to the reservation automatically. If room rotation is used, rooms with the lowest amount of total room points are assigned first. See Understanding room rotation. After the auto assignment process is complete, the number of reservations remaining for which the rooms had not been assigned are displayed next to the Reservation Criteria section. This screen applies the VVIP functionality.

Note: If you do not specify the Room Type, all available rooms are displayed.

To auto assign the rooms to the reservations:

  1. Select Front Desk > Room Blocking.
  2. Specify the reservation criteria. If you select the Show Available Only check box, the rooms which are available for the entire duration of the reservation are displayed.
    Room Type
    The room type code used to filter the guest reservation.
    Arrival Date
    The arrival date of the guest.
    Note: If this field is not same as that of the Hotel Date, the Vacant Rooms Only and Clean Rooms Only check boxes are not available. If this field is same as that of the Hotel Date, the Vacant Rooms Only and Clean Rooms Only check boxes are available.
    Room Preferences
    The room preferences assigned to a reservation in the Guest Stay screen.
    Group Name
    The name of the group used in reservation.
    VIP
    The VIP level type assigned to the guest.
    Loyalty Level
    The guest loyalty level.
    Show Available Only
    If this checkbox is selected, the rooms that are available for the entire duration of the reservation are displayed.
    Vacant Rooms Only
    If this checkbox is selected, the rooms that have vacant status for the entire duration of the reservation are displayed.
    Clean Rooms Only
    If this checkbox is selected, the rooms that have Clean housekeeping status are available for the entire duration of the reservation are displayed.
  3. Specify this attributes in the Room Criteria section for the listed rooms based on the reservation criteria:
    • Building
    • Wing
    • Floor
    • Section
    • Exposure
  4. Click Search.
  5. Click Auto Assign.
