Adding additional guests to a guest stay record
To add an additional guest to the guest stay record:
- Select Front Desk > Guest Stay.
- On the List View tab, double-click the guest stay record. The guest stay Record View tab is displayed.
- Click the Guest Details tab.

In the Guest Details section, specify the information that you
require. See additional details about these fields:
Note: The fields in this section can be updated only if the guest being updated is not the primary guest. For primary guests, the information in this section must be updated in the record view.
- Last Name
- The last name of the guest. This field contains a guest directory look up.
- First Name
- The first name of the additional guest.
- Profile ID
- The profile ID of the additional guest. You can click the Guest Profile icon to view the Guest Profile screen.
- Personal Number
- The unique identification number of the guest. Note: The value is retrieved from the Guest Profile screen.
- Maiden Last Name
- The maiden last name of the guest. This information is required to generate police report.
- Maiden First Name
- The maiden first name of the guest. This information is required to generate police report.
- Birth Country
- The native country of the guest.
- Birth Region
- The region to which the guest belongs to.
- Mother Maiden Last Name
- The maiden last name of the guest’s mother. This information is required to generate police report.
- Mother Maiden First Name
- The maiden first name of the guest’s mother. This information is required to generate police report.
- Legal Representative
- The legal guardian of the guest who is under 18 years of age.
- Player Card Level
- The level associated with the player. This value is defaulted with the value specified in the comp calculator field based on the pre-configured customer/partner interface.
- No Post
- For the primary guest, the No Post check box is disabled by the system and defaulted to the status of the No Post check box on the Guest Stay > Settlement section of the record view. If you change the No Post check box on the Guest Stay record view page, the No Post check box on the Guest Details tab displays the new value of the check box. The No Post check box for additional guests is set to Clear by default when you specify additional guests in a guest reservation.
- Codice Fiscale(Tax code)
- A unique identification number for the guest from
Italy.Note:
- This value is included in the Tax Invoice if the Company Tax ID is not applicable.
- In case, the automatically calculated Codice Fiscale (Tax code) does not match with the guest information, you must select the Manual Codice Fiscale check box to specify the Codice Fiscale value manually.
- The Tax ID is required when the ITALYCODICEFISCALE property
parameter is set to:
- empty, and the nationality of the guest is Italy
- COUNTRY, and the country of the guest is Italy
- The Tax ID is required when the ITALYCODICEFISCALE property parameter is set to COUNTRY, and the country of the guest is Italy. Else, the nationality of the guest is considered.
- Manual Codice Fiscale
- Select this check box to specify the Codice Fiscale value,
manually in case the automatically calculated Codice Fiscale (Tax code) does not match with the guest
information.Note: You must set the FISCAL property parameter to IT.
- Folio Comp Configuration
- Click to configure items that must be automatically comped by the system as charges are posted to the folio. Configuring folio comp.
- Guest Relationship
- Indicates the relationship of the additional guests with the
primary guest. Note:
- The Relationship code is defined in the Global Codes screen.
- This field is enabled only for additional guests.
- Guest Type
- The additional guest type added to the guest stay in order to
correctly generate the Police Report for Italy. Possible values:
- Family Leader
- Family Member
- Group Leader
- Group Member
- Single Guest
- Country
- The country of the additional guest.
- Postal Code
- The postal code of the country.
- Add/Update Profile
- If this check box is selected for a new or additional guest for whom the guest profile does not exist, the guest profile is created for the guest by the system. If you specify an existing additional guest for whom the guest profile already exists, the check box is selected and disabled by the system.
- NRG
- If this check box is selected, the guest is
identified as Non Registered Guest for the Hotel.
The guest is checked in with the prefix NRG.
Note:- The information related to this guest is not disclosed to the users.
- The Guest
Profile screen can be displayed in both List View and
Record View.
The list view is displayed based on the Search Dataspy available (such as Last Name, First Name, Alternate First Name and others) in the filter dropdown of the screen.
The List view combines the NRG and Last Name field and displays the guest name based on this merge.
For Example: If the Last Name of the NRG guest is Smith, the list view displays NRG smith in the Last Name column.
- VVIP
- If this checkbox is selected, the guest is identified as a VVIP(Very Very Important Person) guest. See VVIP functionality.
- VVIP Host
- The VVIP Host code required to view the VVIP guest details. This value is defaulted from the VIP Authorization field in the Users screen.
- Mobile Number Country Code
- The country code of the guest’s mobile number.Note: The codes are defined in the Global Codes screen.
- Mobile Number
- The mobile number of the additional guest.
- Email Type
- The type of the email address.Note: The codes are defined in the Global Codes screen.
- Email Address
- The email address of the guest.
- Email Marketing Opt In
- Select this check box to send promotional emails to the guest’s
email address.Note: The Add/Update Profile check box must be selected to modify details of the additional guests profile.
- Reason for Stay
- The purpose of the stay.
- Position
- The occupational rank of the guest. For example: Doctor, Health Worker etc.
- Use Scan
- Select this check box to perform the check-in process with the
scanned document. The user must use the passport scanner to read the
document of guests (example: Passport) and record the personal data.
However, if this check box is cleared the check-in process is performed
without the scanned documents. Note:
- This check box is displayed and enabled only if the USESCANMANDATORY property parameter is selected. This is required in Hungary.
- The application uploads the scanned document to the database fields in the P5SCANNEDDOCUMENT table, such as SCD_PASSPORTNUMBER, SCD_DOCID etc.
- For guests from Europe, either ID Type and ID Number or Passport details are required. However, for the guests from non-European countries the passport details are required.

Specify the migration information such as Migration card number, arrival and
departure dates in the Migration Card section.
Note: This information is based on the Migration Card details specified by the guests travelling to Russia.
- Specify the information related to specially challenged guests in the User Defined Fields section. This information is included in the quarterly and annual reports provided to the Ministry of Statistic. This is a legal requirement in Russia.

Click
Save. The guest stay
record is updated.
Note:
- For Hungary, you must specify the Last Name, First Name, Date of Birth, Place of Birth, Gender, Nationality, Postal Code, Country, ID Type, and ID Number or the Passport Number if the value of FIELDMANDATORYLOGIC property parameter is set to 1.
- The Show Details option is available for Passport Number, ID Number and Date of Birth fields when the value is specified for the property parameter MASKPERSONALINFORMATION. Only the user with the appropriate permissions can view the details.
