Checking in a guest from a guest reservation

Check in a guest directly from the Record View tab of the Guest Stay screen. Based on your system configuration, you must complete all required steps in the check-in workflow before you are able to finalize the guest check-in; for example, printing a registration card, generating keys, authorizing a credit card for payment.

To check in a guest from a guest reservation:

  1. Select Front Desk > Guest Stay.
  2. On the List View tab, double-click the guest stay record to work with.
  3. Click Check In. The guest is checked in.
    Note: 
    • If there is an issue preventing the guest from being checked-in, a message is displayed in the message bar indicating the reason. Click the appropriate button to close the message bar and address the issue before continuing with the check-in.
    • You can check in a guest even when the room status is displayed as Dirty. For example, many times the front desk is connected to housekeeping through headsets. The guest is waiting in front of the desk clerk and the room status is displayed as Yellow (vacant but dirty). The front desk clerk radios the housekeeper who says the room is really clean. In this scenario, the clerk can check in a guest even when the room status is displayed as Dirty.
    • If the property parameter CKINPCKUPSTATUS is checked and the room assigned has the room status of Pick Up, a message is displayed to the user that states the room has a status of Pick Up and also includes the last date and time the room was cleaned.
    • If room rotation is used, rooms with the lowest amount of total room points appear at the top of the list. When the owner room rotation method is used and the top room in the list is not assigned, you will be prompted for a reason. See Understanding room rotation.
    • When you select the Check In option, a warning message is displayed, and you must transfer the deposit manually if:
      • The BLOCKDEPOSITTRNSTOGUESTLEDGER property parameter is set to Fully or CheckIn and
      • A pending deposit balance exists for the guest stay.
