Occupancy Forecast
This report displays a forecast of the property's occupancy for the specified date range. The main purpose of the report is to give an overview of rooms sold. The report includes total rooms, OOO, stay overs, available rooms, due outs, reservation arrivals by guaranteed and non-guaranteed, block arrivals by group and contract, total reservations, occupied rooms, occupancy percentage, rooms to sell, room revenue, ADR, number of adults, and number of children. The report is grouped by date then will total columns per date and will have a total line for the sum of all dates represented on the report.
The report can be filtered by property. You can group the report by market segment, room category, rate plan, rate category, room type, source, or track and will display the occupancy information according to the grouping used for each date contained in the date range specified. You can optionally include in the results group pickups, contract pickups, remaining group blocks in counts and/or revenue, day use rooms, waitlist status, zero values, and remaining contract blocks. You can additionally opt to treat remaining blocks as pickups and include remaining blocks in availability. Turnover figures can be reported in net or gross. You can use Limit Group Status to include or exclude group and group delegates that are in the Tentative, Definite, Cancel, Checkout, Inhouse, and Prospect status.
When a group by option is not specified, the report displays a summary view of occupancy for each day in the date range. When a group by option is selected, the report includes a detailed view of occupancy for each day which is then followed by the summary view.
The numbers displayed on the report represent room reservations. The following details must be noted:
- All counts in the report are room reservations unless Include Remaining Group Block and/or Include Remaining Contract Block options are selected. In this case, the report will include blocks and/or allocation numbers that do not have a room reservation (uncommitted or picked-up).
- If a there are shares, the report will calculate the revenue under each share component separately. Depending on the group by option selected, the report could have lines with Fractional reports. In the rare case that each Share Component has different codes configured, the report will split the room count and revenue between the share components. Arrivals, Stay Overs and Due Outs will be based on the share master dates.
- For a suite, the component rooms are counted. The report will not include non-rooms like bath and parlors.
- If you do not configure a room with Unit Type set to Room, the room is not counted in the Total Rooms in Hotel column value. Additionally, these rooms are also excluded from the Out Of Order count.
- When remaining group blocks are treated as pickups, the system treats the remaining block as if they were picked up reservations. The default number of guests is used for any rate calculations.
- If the Include Waitlist Status check box is selected, the waitlist reservations are only included for report dates that are after the current hotel date.
- Revenue columns on the report will always include day use rooms, regardless of the room being counted under the Reservation Arrivals and Due Outs columns. Day use rooms will only be included under the Arrival and Depart columns when the Include Day Use Rooms option is selected. When the option is selected, the report would add 1 under the Arrival column for the day use room’s arrival as well as 1 under the Depart column for the day use room’s same day departure.
- If the Treat Remaining Blocks as Pickup for Availability check-box is selected:
- Total Reservation, Occupied Rooms, Occ % and Rooms to Sell will be affected by the remaining group blocks.
- Stay Over, Avail rooms, and Due Outs, Room Revenue, and ADR will not be impacted by Remaining Group Block
- ADR is calculated using the Room Revenue and Occupied Rooms figures displayed on the report.
- If the Treat Remaining Blocks as Pickup for Revenue check-box is selected:
- Remaining group block revenue is added to the Revenue column.
- Stay Over, Avail rooms, Dues Outs, Total Res, OCC Rooms, OCC% Rooms to Sell, and ADR will not be impacted by Remaining Group Block.
- ADR is calculated using the Room Revenue and Occupied Rooms figures displayed on the report.
- If the Include Remaining Contract Blocks check-box is selected the remaining blocks are only counted in the RemCnt column when they are set to impact availability.
- If grouping the report by rate category: all Rate Categories for the property that have Rate Plans configured for it are used. The Rate Code field from the Guest Stay record is used to find the Rate Category on the Property Rate Plan.
- If a group by code is selected and one of the codes has a zero value and has an inactive status, the code will not be included.
