Tax invoices

Some countries levy taxes like Value Added Tax (VAT) or Goods and Services Tax (GST) on the transactions that are completed by a property. Such properties enforce a legal requirement to print certain information on the invoice printout.

An Invoice from a property that levies VAT or GST is known as a Tax Invoice. A tax invoice by law must include certain information on the printout. On the other hand, the hospitality industry also requires certain information to be displayed on the invoice.

The invoice can contain, for example, information such as :

  • Name and address of the invoice issuing property.
  • Tax number.
  • Invoice number.
  • Date on which the invoice is created and balanced.
  • Name and address of invoice recipient.
  • Posting date.
  • Posted quantity or units.
  • Description of the transaction that is posted on the invoice.
  • Total value of each transaction line that is Quantity * price per unit including VAT.
  • Summary of all gross debit totals that is including VAT.
  • Summary of all credit totals.
  • Invoice balance.
  • Tax No of invoice recipient.
  • Date of printing/re-printing.
  • Name of the guest in the room.
  • Number of guests.
  • Room number.
  • Arrival and departure date.
  • Each invoice printout must display the actual page number and the total number of pages.
  • Rate code.
  • Frequent flyer or Membership number.
  • VAT code or the VAT percent attributed to the transaction.
  • Price per unit including VAT.
  • Name of the user issuing the invoice.
  • Guest signature field.
