Configuring guest preference codes

You can configure guest preference codes that identify special requests, services, or amenities guests may require during their stay. Guest preference codes can be added to the guest stay during the reservation process, during check-in, or by editing a guest stay record. Guest preference codes can also be saved to group bookings, guest profiles, organization profiles, and booking agency profiles so that any guest stay that is associated to them will automatically have the guest preference code copied to it. Guest Preference codes can be categorized for efficient searching, be configured to be selectable by a guest or booking agent on the Reservation Portal, and include descriptors.

When configuring a guest preference you can select from three Preference Types:

  • Global: The guest preference code is availably globally at all properties and can be configured with a Department Code.
  • Property: The guest preference code is only available if it has been added as a property preference at which time it a Department Code can be configured. See Adding property preferences .
  • Brand: The guest preference code is only available for properties that are associated to the brand. See Creating a property and Adding a preference to a brand code.
  1. Select Administration > Configuration > Guest Preferences.
  2. In the Record View tab, specify the information that you require. See additional information about these fields:
    Preference Type
    Specify the guest preference code type. The guest preference type can be Global, Property, or Brand.
    Descriptor Type
    Select a descriptor type. Options include:
    • None: When this option is selected no descriptors can be added to the Descriptors tab.
    • Selectable: When this option is selected descriptors can be added to the Descriptors tab. The descriptors are available as options in the Descriptor field when adding the preference code to a guest stay, group booking, or profile.
    • Non Validated: When this option is selected descriptors can be added to the Descriptors tab. The descriptors are available as options in the Descriptor field when adding the preference code to a guest stay, group booking, or profile, or the user can enter their own value into the Descriptor field.
    Category
    Specify the category of the code. Guest Preference Categories are created as a part of the global codes configuration on the Maintain Global Codes screen.
    Department
    Specify the department of the code. Department can only be specified on this page if the preference type is Global. Department can be specified on Property preference types using the Preferences tab of the Property page.
    Web Enabled
    Specify whether the code is web-enabled for online reservations.
    TA Enabled
    Specify whether the code is web-enabled for travel and booking agencies.
  3. Click Save Record.
