Basic Data for Individual Item Information

This supporting function is used to enter the information needed to connect different types of information to an individual item. The information can regard characteristics, service activities, main components of the individual item, etc.

Follow these steps

The following section describes the activities in the supporting function.

  1. Entering Information Structure

    An information structure is a collective term for the information connected to an individual item. Each structure can contain one or more information blocks, which in turn can contain one or more information IDs. The structure can be connected to an individual item using an ID such as item number, item group, product group or individual item group. The structure is only used to retrieve suitable information blocks and related information IDs for the individual item when information is to be entered.

    Information structures are defined in 'Service Info Structure. Open' (SOS200). They are connected to the various IDs in 'Service Info Structure. Connect to ID' (SOS235).

    The information blocks included in the structure are entered in 'Service Info Structure. Connect Blocks' (SOS220). This program is accessed by specifying option 20 = Info block/str in SOS200. Note that several information structures can contain the same information block.

  2. Entering Information Block

    An information block is a grouping of particular information. Information IDs can be connected to each information block. For example, an information block for a truck might be called Characteristics, and information IDs Lifting Height and Capacity can be connected to it. Information blocks are entered in 'Service Info Block. Open' (SOS205).

    The information IDs connected to the block are entered in 'Service Info Block. Connect Info ID' (SOS225). This program is accessed by specifying 20 = Info blocks in SOS205. Note that several information blocks can contain the same information ID.

  3. Entering Information ID

    An information ID identifies a particular kind of information. This information is part of an information type which determines the values that may be entered, such as alphanumeric table values, numeric values, text, item numbers, service expenses, alias numbers, etc. Information IDs are entered in 'Service Info ID. Open' (SOS210).

    Possible alphanumeric table values for information values with information type 1 are entered in 'Service Info Value. Open' (SOS215).

    Possible values for an information ID with information types 1 and 3 (alphanumeric table values and discrete numeric values, respectively) are entered in 'Service Info ID. Enter Info Values' (SOS230). This program is accessed by specifying option 20 = Info values in SOS210.

  4. Connecting Information Structure to ID

    An information structure can be connected to an ID so that the correct template with information IDs is obtained when an information version is entered for an individual item.

    The information structure can be connected to the following IDs:

    • Item number (ID type 1)
    • Item group (ID type 2)
    • Product group (ID type 3)
    • Individual item group (ID type 4)

    It is also possible to specify an information structure that applies generally to all individual items. In this case, ID type 0 should be used.

    The order in which a suitable information structure is retrieved is: 1, 2, 3, 4, 0.

    Information structures per ID are entered in 'Service Info Structure. Connect to ID' (SOS235).

  5. Entering Default Values

    Default values can be defined and then proposed automatically as information values for certain information IDs. The default values are proposed when new lines are created for an information version for an individual item. An automatic check is made to see if the information ID and related information block have been assigned default values. The default values used for an information ID can depend on the IDs to which an individual item belongs:

    • Item number (ID type 1)
    • Item group (ID type 2)
    • Product group (ID type 3)
    • Individual item group (ID type 4)

    It is also possible to specify an information structure that applies generally to all individual items. In this case, ID type 0 should be used.

    The order in which a suitable information structure is retrieved is: 1, 2, 3, 4, 0.

    Default values per information ID are entered in 'Service Info ID. Enter Default Values' (SOS236).
