Basic data for preventive service is used to enter the information necessary to create preventive service orders from agreement lines.
This supporting function includes the following activities:
Entering Service Expense
Service expenses are entered in 'Service Expense. Open' (SOS408). These are used for work to be performed during preventive service.
A service expense can be specified per agreement line and preventive service activity. The activity can be a standing preventive service activity to be carried out on a regular basis, for example at a certain date interval or meter usage interval. The activity could also be one that is performed on a specific date.
Service expenses can be assigned an alias number or be included in a service kit to be connected to a preventive service activity.
Entering Alias Number
Items and service expenses can be connected using a common alias number in 'Alias Number SO. Connect Item/Serv Exp' (SOS465). The alias number can then be entered for the preventive service activity per agreement line in order to identify the service to be performed.
When a service assignment is created from an assignment proposal for preventive service, service order lines are created for the items and service expenses connected to the alias number.
Entering Service Kit
Service kits allow different preventive services to be structured as a kit, similar to an alias number. The difference is with service kits other variables can be set, such as a fixed price for the kit. Service kits are entered in 'Service Kit. Open' (SOS450). They can also be entered for the preventive service activity per agreement line.
When a service assignment is created from an assignment proposal for preventive service, service order lines are created for the kit, the items included and the service expenses included.
Entering Error Symptom
Entering error symptoms that are later used for a preventive service activity provides explanations of the activity. A service expense, alias number or service kit can be connected to the error symptom and used to create service order lines. Error symptoms are entered in 'Error Symptom Text. Open' (SOS410).
When an assignment proposal is created from a preventive service activity for an agreement line, the explanatory text is retrieved from the predefined error symptom. When the proposal is converted into a preventive service assignment, this text is displayed on the assignment. Service order lines are created from the service expense, alias number or service kit connected to the error symptom. If none of these have been connected to the error symptom or completed proposal, then a service assignment is created without lines.
Maintaining Individual Item
If a preventive service is to be performed at specific times calculated from meter values, the meter must be entered for the individual item. Also, an average meter usage must have been calculated or a planned annual usage specified for the meter. This is done in 'Individual Item. Open Meter Details' (SOS418), which is accessed by specifying option 14 = Meter details in 'Individual Item. Open' (SOS419).
Maintaining Service Agreement
To generate a preventive service order for an agreement line, the following must be specified:
Entering 1 or 2 in field Preventive SO in the agreement line in 'Service Agrmt. Open Lines' (SAS120/I) indicates that preventive service is to be performed. Value 1 means that preventive service assignment proposals can be created, but they must be manually released. Value 2 means that preventive service assignment proposals that immediately create a preventive service order can be created.
Different methods can be used to regulate when the service should be performed: 1) An interval for preventive service is entered in 'Service Agrmt. Connect Prevent Service' (SAS130) for a standing preventive service activity. The interval can be a date interval or meter usage interval. 2) One or more fixed dates for preventive service activities are entered in 'Service Agrmt. Connect Prevent Activity' (SAS131).
The preventive service to be performed is determined by specifying a service expense, service kit, alias number or error symptom for the preventive service activity.
If information about service activities is available for the individual item in 'Individual Item. Enter Info Values' (SOS280), it can be retrieved and displayed by default using function key F14 = Standard val in SAS130.
