Define Rules for Entering, Checking and Copying Service Assignments

This document explains how you define how service assignments will be entered or copied. You can also specify a fixed panel sequence that will determine the order in which to do the work.

Outcome

You have set:

The rules are applied automatically when you work in 'Service Order. Open Assignment' (SOS110).

Before you start

A service order header must have been created. For more details, see Enter Service Order Header.

Alternatively, customer information and service order type must have been entered in 'Customer Site. Display Individual Items' (SOS101), 'Customer Site. Display Customer' (SOS105) or 'Customer Site. Display Addresses' (SOS106).

Follow These Steps

All the steps in the instruction refer to 'Service Order. Open Assignment' (SOS110/P).

  1. Start 'Service Order. Open' (SOS100/B). Select alternative 15 to start 'Service Order. Open Assignment' (SOS110).

  2. Select F13 to display panel P.

  3. Select one of the following alternatives:

    • To define the start panel and panel sequence to use when working with service assignments, go to Define start panel and panel sequence for service assignments.
    • To define rules for copying service assignments, go to Define rules for copying service assignments.

Define start panel and panel sequence for service assignments

  1. Select one of the following alternatives as opening panel:

    • Panel A to enter service assignments
    • Panel B to adjust assignments
  2. Specify the permanent panel sequence to be used in (SOS110).

  3. Select one of the following alternatives:

    • If you are done entering data, go to step 14.
    • To copy parts of another service assignment continue with step 7.

Define rules for copying service assignments

  1. Specify whether the new service assignment is to have same individual item, service manager and technician as the original assignment.

  2. Select the 'Retrieval of payer' check box if you want the payer to be searched for via payer control, instead of being copied from the original assignment.

  3. Specify whether the new service assignment is to have the same 'Error report time' and plan times as the original assignment.

  4. Specify whether the new assignment is to have the same assignment text and line text as the original order.

  5. Specify whether the same material and work will be used for the new assignment and whether the prices on these service assignment lines are to be copied from the original assignment instead of being retrieved from the price list.

  6. Select the 'Reverse sign – quantity' check box if the new service assignment is to be used to credit the original assignment.

  7. Specify the panel sequence to be used every time you copy a service assignment.

  8. Press Enter to save the settings.

T = User-defined comments about the assignment

To consider:

If a specific panel sequence is necessary during data entry the panels and panel sequence you specify here will be overridden.

The following fields are used only when copying service assignment
(SOS110/P) Data from individual item This field is not used and should therefore not be activated.
(SOS110/P) Copy from individual item

… whether the items that were entered on the original order are copied to the new the service assignment.

To consider::

If the field is not activated, you enter the item manually in (SOS110/C).

(SOS110/P) Copy service manager

… whether the service manager on the original assignment is copied to the new the service assignment.

  • As a rule, the service manager is the person who head the service department or service office.
  • The service manager is used to sort service assignments on a more general level than service technicians as well as for planning service assignment manually when all service technicians are booked.

To consider:

If the field is not activated you specify the service manager manually in when copying in (SOS110/C)

(SOS110/P) Copy technician

… whether the technician that was assigned the original assignment will also be assigned the new one.

To consider:

If the field is not activated you specify the service technician manually when copying in (SOS110/C)

(SOS110/P) Retrieve payer

… whether the payer on the assignment lines will be searched for via payer control.

Payer control searches for a payer in the following order: line level, assignment, service order header, service agreement. If no payer is found, the customer becomes the payer.

To consider:

If the field is not activated payer is copied to the service assignment without any search.

(SOS110/P) Copy error report time

… whether the point in time when the customer filed an error report for the item will be copied to the new the service assignment.

To consider:

If the field is not activated you specify the error report date manually in (SOS100/C).

(SOS110/P) Copy plan times

… whether the planned start and end times for the assignment and work is copied from the original assignment.

Planning times are copied when the original assignment is supplemented by a second assignment that is to be carried out at the same time.

To consider:

If the field is activated then the start and end times are copied from the original assignment.

If the field is not activated, end date is specified manually in (SOS110/G)

(SOS110/P) Copy assignment text

… whether the before and after texts from the original assignment are copied to the new service assignment

To consider:

If the field is not activated the assignment texts are entered manually via F16 and F17 in (SOS110/B).

(SOS110/P) Panel sequence when copying

…which panels are displayed at copying, as well as the order in which they appear

The valid alternatives are:

E = Detail panel for error reason and information about warranty and agreements

F = Detail panel for action text and information about warranty and agreements

G = Detail panel, planned start and end times, assignment status, service manager and technicians

T = Text

(SOS110/P) Copy lines

… whether the service order lines that are connected to the assignment will be copied. The service order lines are the material and work that are used for a service assignment.

To consider:

If the field is not activated, the service order lines are created manually in 'Service Order. Open Line' (SOS120)

(SOS110/P) Reverse sign quantity

… whether the quantity on the service order lines is copied from the original assignment but be inverted.

By inverted we mean that the quantity is copied but its sign is reversed. A negative quantity is used for creating credit orders.

To consider:

To ensure that the quantity can be inverted, the 'Copy Lines' field must be activated.

(SOS110/P) Copy price … whether the line prices are copied from the original assignment instead of from the price list.
(SOS110/P) Copy line text

… whether line texts on the lines that are copied from the original assignment are also to appear on the new service assignment.

To Consider:

If the field is not activated, the line texts can be entered manually per line in (SOS120).

(SOS110/P) Display E-mail

... whether e-mail about service assignments to technicians are to be reviewed before they are sent in (SOS110/B) and 'Service Assignment. Plan' (SOS475)

To consider:

The field is not to be activated in M3 Explorer since email cannot be previewed in that program.
