Copy Rental Agreement or Agreement Line

This document explains how a rental agreement is copied from one agreement to another. You can create a quick copy or a detailed copy, depending on whether you want to copy the entire agreement or a few agreement lines.

Outcome

One or several agreement lines are copied from an existing rental agreement to the agreement that you are currently working with.

You reduce the amount of administrative work that you must do when entering a new agreement or line by copying an existing one and changing relevant information.

Follow These Steps

Quick Copy (Entire Agreement or Different Line Types)

  1. Start 'Rental Agreement. Open' (STS100).

  2. Select:

    • An entered rental agreement on the A panel
    • A selected rental agreement on the B panel

    and select Copy to proceed to the C panel.

  3. Select 'Quick copy' on the C panel.

    The entire agreement will be copied.

  4. Select which line types are to be copied.

    For example, the field value '12' means that only lines with line types 1 and 2 are copied. If the field is left blank, all existing lines will be copied.

  5. Press Enter to return to either the A or the B panel, depending on where you initiated the copy from.

    Detailed Copy

  6. Start 'Rental Agreement. Open' (STS100).

  7. Select:

    • An entered rental agreement on the A panel
    • A selected rental agreement on the B panel

    and select Copy to proceed to the C panel.

  8. Enter '1' in the 'Panel sequence header' field if you only want to copy the agreement header.

    The 'Copy from' agreement number (and in the case of a quotation, also the 'Version number') are defaulted to the 'Copy from' fields in (STS101/B).

  9. Select to copy the agreement header if you want the header to be copied from the original as a true copy.

    This means that manually changed values in the original header will be copied to the new agreement.

  10. Select whether you want to copy the information from the following fields: 'Add charge', 'Header charges', 'Line charges', 'Price', 'Text' and 'Documents'.

  11. Press Enter to proceed to (STS101/B).

  12. Press Enter to proceed to 'Rental Agreement. Copy Line' (STS126).

  13. Select F13 to proceed to the P panel.

  14. Select whether you want to copy the information in the following fields: 'Price', 'Text', 'Documents', 'Add charge' and 'Line charges'. Press Enter.

  15. On the B panel, change the values in the 'Identity', 'Agreement period' and 'Order quantity' fields, if necessary

  16. Select to:

    • Copy every line by pressing F14
    • Copy a number of lines by entering each line with option 3.

    Note: The version number is only valid if the copy from and to agreement is a quotation.
