Display Programs in Time and Attendance

This document explains the various display programs found in Time and Attendance and their use.

Before you start

The Purpose of Display Programs

  1. Review Clocked In Employees

    You can see which employees are currently clocked in or out in 'Employee. Display In/Out' (TMS300). A list of all employees and whether they are clocked in or out is displayed. You can also see an employee's latest clocked transaction if an absence type was used.

  2. Review Valid Time Definitions for Employee Group/Work Hour Group

    You can review the time definitions for overtime, miscellaneous time and shorter work hour for a particular employee group and work hour group in 'Work Hour Group. Display Time Types' (TMS315). You can see the times between which the time definition is valid and its priority (if any) in relation to other time definitions.

    In other words, this program provides you with information about when an employee group can work overtime as well as the compensation rules for inconvenient work hours that are valid for the employee group and work hour group.

  3. Review an Employee's Schedule, Flex Schedule and Overtime Rights

    The details of an employee's schedule and flex schedule for a particular day can be reviewed in 'Clock In/Out Transaction. Display Schedule Day' (TMS310). You can also review whether, and between which times, overtime and/or miscellaneous time can be calculated for an employee and the current day.

    In other words, this program provides you with information about when attendance, flextime and overtime can be calculated for an employee.

  4. Review Calculated Times Graphically for an Employee, Department or Planning Area

    You can review the amount of time calculated for a particular time period in 'Calculated Time. Display Graphical' (TMS430). The times you can review are attendance, absence, overtime, flextime and miscellaneous time. You can also select to review the times per employee, department or planning area as well as select the length of time period to review. The information is displayed graphically as a bar diagram.

    This program provides you with an overview of the relationship between various types of times. This means that you for example know whether a department has worked a lot of overtime during a particular period or whether there has been a lot of absence time.

  5. Review Automatically Generated Absence Transactions

    You can review the absence transactions that are automatically generated each day during an absence period in 'Absence. Display Clock In/Out Transaction' (TMS205). These transactions collectively indicate the times between which an employee is absent each day.

  6. Review Historical Transactions

    All transactions that are transferred to history and a payroll system are saved in Time and Attendance. You can easily access these transactions for review via various display programs. You may want to review historical transactions in the following examples:

    • An employee believes that he/she has received an incorrect salary. By going in and looking at the historical transactions, you see the times that were the basis for the payroll run.
    • You want to know the number of absences due to illness for a particular period.

    The following programs contain historical transactions:

    'Calculated Time. Display Approved' (TMS630)

    In this program you can review the following:

    • All times calculated for a particular employee that have been transferred to payroll/history.
    • The clocked transactions that were the basis for the calculated times that were transferred to history and a payroll system.
    • The amount of time that was calculated and transferred to history and a payroll system for an employee.

    Here you review transactions per employee and seven-day period. The program functions in the same manner as 'Calculated Time. Approve On-screen' (TMS230). For more information, see Review, Calculate and Approve Calculated Times and Clocked Transactions in Time and Attendance.

    'Calculated Time. Display History' (TMS620)

    You can use this program to review all times that have been calculated and transferred to history and a payroll system. Each time is reviewed individually. The following is displayed for each time:

    • The employee and schedule date to which the time belongs.
    • The length of the time and the ID of the person who approved it.
    • The time type and clocked transactions that were used as the basis for the calculation of the time.

    You can also access 'Calculated Time. Display Approved' (TMS630) to view the times per employee and seven-day period.

    The program functions in the same manner as 'Calculated Time. Update' (TMS220). For more information see Review and Approve Calculated Times in Time and Attendance.

    'Clock In/Out Transaction. Display History' (TMS610) / 'Clock In/Out Transaction. Display Daily History' (TMS615)

    You can use these programs to review all clocked transactions that were the basis for the times that were transferred to history and a payroll system. The following is displayed for each transaction:

    • The employee to whom the transaction belongs.
    • The schedule date and time the transaction was made.
    • The transaction type used, status, absence type (if any), reference number and terminal number. You can also see whether the transaction was accepted.
    • The work hour definition that was valid for the current day as well as the definition's work hour and validity periods.

    Clocked transactions are reviewed one by one in (TMS610). The program functions in the same manner as 'Clock In/Out Transaction. Open Separate' (TMS210). For more information, see Review Individual Clocked Transactions in Time and Attendance.

    You can review all the clocked transactions made by an employee on a particular schedule date in (TMS615). The program functions in the same manner as 'Clock In/Out Transaction.   7. Clocked Transactions before Transferred to a Payroll System

    You can find a back up of all clocked transactions that have not yet been transferred to history and a payroll system in 'Clock In/Out Transaction. Display History Original' (TMS600).
