Create Accounting Structures for Financial Monitoring

This document explains how you control how general ledger balances are to be presented and aggregated on different levels.

Refer to the settings process document for an example of how to create and use accounting structures.

Outcome

Include the appropriate accounting structure levels in any of the user-defined balance keys in (GLS690). When selecting the balance key in 'GL Balance File. Display' (GLS215), period totals are displayed according to the accounting structures.

The following files are updated: FSTLEV (levels); FSTDEF and FSTLIN (for the structures and structure lines).

Follow These Steps

Select one of the following alternatives:

Name Accounting Structure Levels

  1. Start 'Accounting Structure. Define' (CRS647/B).

  2. Enter a combination of accounting dimension to use as base (for example, cost centers in accounting dimension 2), level and language. Click New.

  3. On the E panel, enter a description/name and heading. Press Enter and repeat the procedure for all levels.

Create Accounting Structure

  1. Start 'Accounting Structure. Open' (CRS645/B).

  2. Set the panel sequence to E1.

  3. Select the accounting dimension used as base and enter an ID. Click New.

  4. On the E panel, enter a description/name, structure level (required) and, when applicable, the person responsible for this structure. Press Enter.

  5. Return to the B panel and create any new accounting structures to include in the hierarchy.

  6. On the B panel, select the Change option for a base level accounting structure and press Enter to display 'Accounting Structure. Open Lines' (CRS646/B).

  7. Create each line connected to the structure by selecting whether it is based on an accounting ID or another accounting structure, enter the accounting ID/structure, and a From period. Click New.

  8. In (CRS646/E), enter an abbreviated name – this name is only displayed in (CRS646/B) - and the last valid To period. Press Enter.,

  9. Repeat this procedure until the entire structure is complete.

Print Hierarchical Model of Accounting Structures

  1. In (CRS645/B), select the Print option for a structure.

  2. In 'Accounting Structure. Print' (CRS648/E), adjust the proposed structure level, accounting dimension, and range of accounting structures to print, if needed.

  3. Select report layout 1 (required) and enter a report text (optional). Press Enter to print the structure from the selected level and downwards.

Print Analysis of Accounting Structures

  1. To analyze the accounting structures and identify any deviations between the chart of accounts and the accounting structure, based on any of the accounting dimensions, start 'Accounting Structure. Print Analysis' (GLS680/E).

  2. Select the accounting dimension to analyze and the validation date.

  3. Select report layout, controlling which check is done:

    • 1 = Check whether the value exists in the structure but not in the chart of accounts
    • 2 = Check whether the value exists in more than one structure
    • 3 = Check whether the value exists in the chart of accounts but not in the structure
    • 4 = Check whether the expiration date in the structure is expired.
  4. Enter a report text (optional). Press Enter.
