Assigning automated actions to workflow steps
You can automate any workflow action that is available to a workflow step so that the action is performed when the step is started or completed, depending on your preferences. You can automate one or more actions for each workflow step.
- Sign in as an administrator.
- Select Talent Acquisition > Workflow Setup > Hiring Workflows or Talent Acquisition > Administration > Recruiting Setup > Workflow > Hiring.
- Double-click a hiring workflow.
- Click Workflow Steps.
- Select a workflow step and click Open.
- Click Automations.
- Click Create.

Specify this information:
- Workflow Action
- Select the workflow action to automate in a workflow step.
- To automate a quick move action to a workflow step, select MOVE TO STEP.
- Run Order
- Specify the order of the automated action in the sequence of other automations.
- This field applies to workflow steps with more than one automated action. Run order is not tracked separately for entering step and leaving step. We recommend that you add actions for entering step with their run order and then actions for leaving step with a distinct run order. If the run orders for entering step and leaving step are intermixed, then the logic to use the actions processes all entering step actions in their run order when a candidate enters the step, and then processes all leaving step actions in the run order when a candidate leaves the step.
- Run Upon
- Select the action to run when the user starts the workflow step or when the user completes the workflow step.
- To run the automation of a quick move action to a workflow step, select the relevant quick move action. For example, select Quick Move Interview to run the automation of the Advance Candidate to Interview quick move action.

- Eligibility Group
- Specify the candidate group for which the automation is limited.
If no group is specified, then the automation is performed for all
candidates who are exposed to the step. Note: The Eligibility Group field is disabled if Assign Screening is selected as a workflow action for automation. Eligibility is based on the requisition to which candidates apply and the screening package that is assigned to that requisition.
- Email Template
- If the workflow action is Send Email, specify the email template to use when the action is automated.
- Delay Email
- This field automatically populates based on the value in the email template. Select this check box to enable and specify the number of hours to delay sending the email.
- Note Template
- If the workflow action is Send Note, specify the note template to use when the action is automated.
- Document Template
- If the workflow action is Send Document, specify the document template to use when the action is automated.
- Transition Program
- If the workflow action is Create Program, specify the transition program to create when the action is automated.
- Package
- If the workflow action is Assign Screening, specify the screening package to use when the action is automated.
- Offer Status
- If the workflow action is Change Offer Status, select the status to apply when the action is automated.
- Move To Workflow Step
- Specify the workflow step for which the user is moved after running an action that is automated or quick move action.
- Click Save.
