Promoting resource work assignments to new positions
Within a work assignment, you can promote a resource to a new position and salary.
If Position Monitoring is used in your organization and if a position budget allocation or the maximum allowed FTE is exceeded after promoting a resource, you cannot complete the action. The error message that is displayed explains how the budget is exceeded. You can complete the action by reducing the amount that causes the budget error.
After the promotion request is approved, the information is updated.
- Select Administrator > Resources > Resources or HR Administration > Resources > Work Assignment Search.
- On the Work Assignment Search tab, search for a work assignment.
- Right-click the work assignment and select Promote.
- Specify the effective date and action reason.

If required, specify the legal entity and legal establishment.
These fields are required if the system is configured to require them.

In the Enter The New Position and Pay
Information section, specify this information:
- New Position
- Select the new position to promote the resource.
- Retain Staff
- Select this check box to retain the manager's current reporting structure.
- This check box is displayed if the manager's new position is a managing position, there is more than one manager role in the current or new position, and the position default rules for Position Is Manager are set to Default with Override or Default No Override.

- After you select this check box, a message is displayed to notify the HR administrators for current or new positions that are with more than one manager role. The message is displayed during the promotion or transfer of a resource work assignment.
- If you select this check box, all employees in the manager’s current
reporting structure are moved to the new manager's reporting structure. A message is
displayed to notify the HR administrators for current or new positions that are with
more than one manager role. The message is displayed during the promotion or
transfer of a resource work assignment.Note: If the position and work assignment are not synced, resources under the manager’s code are not updated.
- If you do not select this check box, all employees in the manager’s reporting structure are retained to the old manager structure. No message is displayed during the promotion or transfer of a resource work assignment.
- Organization Unit
- The organization that is defined in the work assignment is automatically displayed.
- Working Remotely
- Select this check box if the resource works remotely.
- Assignment Expiration or Not To Exceed
- Specify the date on which the assignment ends.
- Percent Increase, Pay Rate, Step And Grade Schedule/Pay Grade/Pay Step, Pay Rate Type, Salary Schedule/Grade

The resource's compensation information for the old work assignment is displayed. If the old assignment is on a straight pay rate, only the Percent Increase and Pay Rate fields are displayed.
You cannot change the type of salary (straight pay rate, step and grade, or salary structure). You can change the pay rate for a straight pay rate or salary structure. You can change the step and grade for a step and grade schedule.
You can change one type of salary to another on the work assignment record after the transfer is completed.
- Location
- Specify the location of the work assignment.
- Comment
- Provide comments.
- Click Submit.
