Offer process overview

The recruiter requests to define a job offer by defining it and submitting it for approval. The offer status is Pending. Each approver reviews and updates the offer, Employment Contracts, or Legacy Employment Contracts. When the final approver approves, the offer status changes to Approved.

The recruiter generates the offer letter and, if applicable, Employment Contracts or Legacy Employment Contracts. The offer status on the job application's Offer and Contract tab changes to Created.

Offer letters and Employment Contracts are available from the job application. To access them, View Attachments. You can edit, print, and email offer letters. Recruiters cannot edit the Employment Contracts. When the offer documents are finalized, the recruiter emails the candidate to request an offer review. You can only include offer documents and Employment Contracts in the email. Legacy contract documents are not part of the offer process. Recruiters send offer documents by clicking View Attachments and the Send Email button for the document. After the email is sent, the offer status changes to Extended.

Internal candidates receive an email that directs them to a notification in Talent Acquisition. The notification contains a link to the offer review. Candidates can access the offer document and accept or decline the offer letter and contract separately. External candidates receive the same link in their email.

Candidates can access the offer review form repeatedly from the notification or email while they are considering the offer. The candidate accepts or declines the offer directly on the offer review form. The job application status automatically changes to Accepted or Declined. Recruiters can rescind a job offer any time after it is sent to a candidate.

The offer status for each job application is displayed from these areas of the application:
  • From a requisition's workflow step of a job application
  • From a workflow step
  • From a requisition's job application
This table shows the offer status for a job application:
Status Description
Not Defined The offer is not yet defined.

The job application is in a workflow step with a Define Offer or Quick Offer action.

Defined The offer is submitted and defined.
Approved The defined offer is approved by the approvers.
Offer Ready The offer letter is created for the candidate of a job application.
Extended The offer letter or contract is extended to the candidate through email or Candidate Experience.
Accepted The offer is accepted by the candidate.
Declined The offer is declined by the candidate.
Rescinded The offer is rejected by the recruiter.
Pending The offer approval request is returned or rejected.

The offer status is displayed as Not approved.
