Adding ad hoc offer paragraphs when creating offer letters

These features must be enabled at the application level:
  • Offer Letter Templates with Paragraphs
  • Addition of Ad Hoc Paragraphs
  • Enable Deletion of Template Paragraphs
  • Editing of Offer Letters

Offer letters can include offer letter paragraphs. Recruiters who have permissions to add offer letter paragraphs can add and them and edit them. Recruiters who have permissions to create ad hoc offer paragraphs can create them and add them to offer letters.

Offer paragraphs are added to the offer letter, which is then output as a PDF. Recruiters add offer paragraphs from the offer paragraph library. The benefit of ad hoc offer paragraphs is that they can be used to add pre-defined information to a more widely used offer letter template. For example, an organization’s offer letter library includes offer paragraphs that each include information about sign-on bonuses, relocation bonus, PTO accrual, and rental cars. A recruiter can add one or more of these offer paragraphs to an offer letter.

The ad hoc paragraphs feature can be used to limit the editing permissions of recruiters and recruiter administrators who send out offer letters.

To view the most recently saved offer letter, click View Latest Offer Letter PDF.

  1. Select Actions > Create Offer Letter. This action is available only after you define the offer. If approval is required and the offer goes through approvals (if applicable).
  2. Click Add Ad Hoc Paragraphs or Edit Ad Hoc Paragraphs.
  3. Click Retrieve Template Paragraphs to populate the table with available offer paragraphs.
  4. To view the body of an offer paragraph, click the name of the paragraph.
  5. Click Create.
  6. Select one or more paragraphs.
  7. Click Add Paragraphs.
  8. Clear the paragraphs that you want to delete from the offer letter.
  9. To preview the offer letter with the added offer letter paragraphs, click Offer Letter Preview.
  10. To generate the offer letter, click Create Offer Letter.
  11. A preview of the offer letter is generated. If the letter is satisfactory, then click Submit.
  12. To send the offer letter to the candidate, click Send Offer Email. Complete the form and submit it to send the email with offer letter.
