Enhanced requisition list

After HR administrators enable the Redesigned Talent Acquisition Lists feature toggle, these users in Talent Acquisition can view and identify requisitions based on the statuses and relevant information:
  • Recruiters
  • Alternate recruiters
  • Administrators
  • Recruiter administrators

The requisition job list in Talent Acquisition is redesigned as the requisition list. Search and filter options are enhanced to access requisition records faster. Each requisition status is displayed as a tab in the requisition list.

The total number of requisitions are displayed on the All tab.

The number of requisitions for each requisition statuses are displayed on each tab.

Creating requisitions

You must customize security to restrict access to confidential requisitions.

  1. Select Requisitions > All.
  2. Click Create Requisition.
  3. Select the required requisition fill date.
  4. Select the Confidential Requisition check box to indicate that the requisition is confidential.
  5. Select the Featured Job check box to indicate that the requisition is urgent.
    Featured jobs show in red on the requisition list. If an automatic email and template are defined on the organization setup, then recipients automatically receive an email when an application is submitted. Featured jobs are displayed in the Hot Jobs section of internal and external job boards and the Featured Jobs widget.
  6. Specify this information:
    Position Code
    Select the position code.

    Fields that are defined at the job or position level show on the requisition according to the position default rules for the organization. If an HR contact exists on the organization unit record, then it shows in the HR Contact field. If a position is defined as key or critical, then these values are displayed.

    Description
    Optionally, specify the requisition title and the job posting title when the position default rule is not Default No Override.
    Hiring Workflow
    Select the hiring workflow step to associate with the position.
    Application Process
    Select the candidate-facing online experience that guides candidates in submitting application for the position.
    Organization Unit
    Select the organization unit for the position.

    If this field is blank, then the top organization unit for the organization is used. This field is required to include the requisition in budget counts.

    Legal Entity
    Select the legal entity for the position.
    Legal Establishment
    Select the legal establishment for the position.
    Cost Center
    Select a cost center to interface expenses to a financial system other than Infor Financials & Supply Management.

    If your organization is not configured to use Chart of Account, then this field is displayed.

    Project
    Select the project for the requisition expenses.
    Expense Account
    Click the Launch icon and select the ledger, accounting entity, account, fund, accounting unit, project, and project funding source. These values are used to interface expenses and activities to Infor Financials & Supply Management.
    Location
    Select the location of the position.

    If the location is associated with a position location, then the location is displayed on job boards. If nationwide locations are available, then this setting is the primary location.

    Nationwide
    Optionally, select this check box to designate the requisition as a nationwide requisition.

    You can create requisitions at any location. Before the Nationwide check box is displayed, you must enable nationwide locations on requisitions and Talemetry to an organization.

    Workplace Type
    Select the employment workplace type of the position.
    Additional Locations
    Optionally, select additional locations where the position is available.
    Category
    Optionally, specify the category that is associated to the position.

    If there is an associated category to the position, then the category is displayed. Categories are used to locate jobs on job boards.

    Relationship To Organization
    Specify the relationship of the employee to the organization.

    For example, an employee, a consultant, an intern, or an apprentice.

    Sub Category
    Select the associated subcategory to a position.

    The sub category is not displayed on job postings.

    Work Type
    Select whether the position is full time or part time.
    Professional Category
    Select the professional category of the position. Professional categories can be used to assign a unique hourly pay rate to resources and to estimate costs.
    Work Schedule
    Select the work schedule. For example, select a schedule of Monday-Friday, 9 AM-5PM.
    Shift
    Optionally, select the shift name or number.
    Standard Hours
    Specify the standard number of hours worked per week.
    Bargaining Unit
    Select the bargaining unit if the position is unionized.
    Union
    Select the union name if the position is unionized.
    Exempt from Overtime
    Select this check box if the position is an exempt position. Exempt positions are salaried, with no overtime pay.
    Legacy Employment Contracts Type
    Select the Legacy Employment Contracts type if the position is subject to an employment contract. For example, select Temporary if the position is scheduled to end on a specific date.
    Begin Date
    Specify the begin date of the position that is subject to an employment contract.
    End Date
    Specify the end date of the position that is subject to an employment contract.
    Duration
    Specify the duration of the position that is subject to an employment contract.
  7. In the Compensation section, specify this information:
    Pay Rate
    If a pay rate exists, it is displayed in this field. The currency is displayed in the adjacent field. If no pay rate is displayed, then you can specify a pay rate and currency.
    Step And Grade Schedule
    If a position is compensated on a step and grade schedule, then the step and grade information is displayed in this field and the Grade and Step fields. The currency is displayed adjacent to the Pay Rate field.
    Pay Rate Type
    Select a pay rate type from the list. Valid pay rate types are Hourly, Annual Salary or Monthly Salary. This information also shows on a job posting.
    Number Of Months
    If the pay rate type is Monthly, then specify the number of months. The default value is 12. If the number of months is selected, then it is displayed in this field.
    FTE
    Specify the Full Time Equivalent for the position, for example, 1, 0.75, or 0.5.
    Salary Structure
    If the position is associated with a salary structure, the salary structure information is displayed in this field.
    Geographic Differential
    If a geographic differential exists, it is displayed in this field.
    Grade
    If a pay grade is selected, it is displayed in this field. The pay rate must be within the range of the pay grade that is assigned to the position.
    Pay Frequency
    If a pay frequency is defined for the position, it shows in this field, depending on the position default rules.
    Payment Schedule
    If a payment schedule is defined for the position, it shows in this field, depending on the position default rules.
    Bonus
    Optionally, use this field to specify bonus information.
    Other Compensation Info
    Optionally, specify other compensation information.
  8. In the Opening Information section, specify this information:
    # of Openings
    Specify the number of openings that are available for this requisition. The default is 1.
    Reason For Opening
    Select the reason that this requisition is open.
    # Filled
    The recruiter increments this field by 1 when a position is filled.
    Detailed Reason For Opening
    Optionally, specify additional details about the reason that the requisition is open.
    # Remaining
    This number is automatically computed by subtracting the value in the # Filled field from the value in the # of Openings field.
    Budgeted
    If this is a budgeted position, select this check box. This field is required if your organization uses budget counts.
    Travel Required
    Specify whether traveling is required for the position. You can select Yes, No, or a percentage.
    Relocation Provided
    Specify information about relocation cost reimbursement. For example, specify the plan under which relocation costs are covered.
  9. In the Contacts section, specify this information:
    Direct Manager
    Select the direct manager for the position.
    Hiring Manager
    Select the hiring manager for the position.
    HR Contact
    Select the Human Resources contact for the position. If it is exists, then the organization unit HR contact shows in this field. You can select a different HR contact.
    Recruiter
    Select the recruiter for the position.
    Alternate Recruiter
    Select the alternate recruiter for the position.
  10. In the Approver Templates section, specify this information:
    Approver 1
    Select the first approver for the requisition.

    If you do not configure approvers for a requisition to your organization, then this field is displayed.

    You can select up to three approvers, in the order in which to approve, when the Request Approval action is performed. These fields are meaningful to recruiters with security modified to request approval for requisitions instead of manually approving their own. These fields are used when recruiters request an update to a requisition that is in a pending or open state.

    If one or more approvers are selected, then approval requests are routed differently based on who submits them:

    • Approval requests that are submitted by a hiring manager are routed to approvers in the order specified, then to the recruiter.
    • Approval requests that are submitted by a recruiter are routed to the hiring manager for approval, then to the next specified approver.

    If no approvers are selected, then approval requests are routed to the hiring manager or the recruiter:

    • Requests that are submitted by a hiring manager are routed to the recruiter.
    • Requests that are submitted by a recruiter are routed to the hiring manager.

    When all approvals are processed, the requisition status is Pending.

    Approver 2
    Optionally, select a second approver.

    If you do not configure approvers for a requisition to your organization, then this field is displayed.

    Approver 3
    Optionally, select a third approver.

    If you do not configure approvers for a requisition to your organization, then this field is displayed.

    Requisition Approver Template
    Select an approver template for the requisition. This field is available if your organization uses approver templates and the Enable Configurable Approver for Requisition check box is selected in organizational setup.

    Offer Approver Template
    Select an approver template for the job offer. This field is available if your organization uses approver templates and the Enable Configurable Approver for Offer check box is selected in organizational setup.

    Hire Type Actions Approver Template
    Select an approver template for hire type actions. This field is available if your organization uses approver templates and the Enable Configurable Approver for Hire check box is selected in organizational setup.

  11. In the Offer Templates section, specify this information:
    Offer Letter
    Select the default offer letter template when you create a requisition.
    This is applicable to organizations that are not enabled with quick offer process.
    When you enable the quick offer process for an organization without position configuration, the default offer letter template in the configuration is used. This template is used when you extend a job offer to a candidate.

    When you enable different offer templates for internal and external candidates, the initial templates that you configure are used in the Define Offer action.
    You can select different offer letter templates for internal and external candidates to use in the Quick Offer action.

    Offer Email
    Select the default offer email template when you extend a job offer to a candidate. This is applicable to organizations that are enabled with quick offer process.
    When you enable the quick offer process for an organization, the default offer email template from the configuration is used. This template is used when you extend a job offer to a candidate.

    When you enable the quick offer process and different offer templates for an organization, configure the offer letter template and offer email template for internal and external candidates. The templates are used in the Quick Offer action.

  12. In the Other Information section, specify this information:
    Screening Category
    Select a screening category.
    Self Identification Configuration
    To show self-identification questions on the job application, select the self-identification configuration. If a default self-identification configuration is defined at the organization level, then it is displayed here. You can select a different self-identification configuration or this field can be blank.
    Question Set
    Optionally, select a question set.
    When the requisition is approved in a Pending status, all the questions in the question set are displayed on the Questions tab.
    The default question set to use is defined according to a hierarchy.

    You can select a different question set or leave this field blank.
    If a default question set is defined at the organization level or at the position level, then it is displayed in this field. You can select a different question set or leave this field blank.
    Consent Agreement - External
    Select the consent agreement text that is displayed to external candidates at the beginning of the job application. If a default for the external consent agreement is defined at the organization level, then it shows in this field. You can select a different consent agreement or this field can be blank.
    Consent Agreement - Internal
    Select the consent agreement text that is displayed to internal candidates at the beginning of the job application. If a default for the internal consent agreement is defined at the organization level, then it shows in this field. You can select a different consent agreement or this field can be blank.
    Acknowledgment - External
    Select the acknowledgment text that is displayed to external candidates at the end of the job application. If a default for the external acknowledgment is defined at the organization level, then it shows in this field. You can select a different acknowledgment or this field can be blank.
    Acknowledgment - Internal
    Select the acknowledgment text that is displayed to internal candidates at the end of the job application. If a default for the internal acknowledgment is defined at the organization level, then it shows in this field. You can select a different acknowledgment or this field can be blank.
    Assessment Package
    If all candidates are required to submit to assessment tests, then select the assessment package that includes the tests to which candidates must submit. If only a few candidates are to submit to the assessment, then you can add an assessment package on individual job applications. If a default assessment package is defined at the organization level, then it is displayed in this field. You can select a different assessment package or this field can be blank.
    Target Requisition Target Score - Internal
    Recruiters can score questions and compare them against a target score to eliminate candidates who do not meet minimum qualifications. Only YesNo, YesNoText, or List type questions can be scored.
    Target Requisition Target Score - External
    Recruiters can score questions and compare them against a target score to eliminate candidates who do not meet minimum qualifications. Only YesNo, YesNoText, or List type questions can be scored. Specify the target score against which external candidates' scores are compared.
    Maximum Question Score - Internal
    Specify the maximum score that can be received by an internal candidate.
    Maximum Question Score - External
    Specify the maximum score that can be received by an external candidate.
  13. Click Save As Draft.

Creating a requisition from a copy

You can create a new requisition that is an exact copy of the original requisition. The next available requisition number and Draft status are used in the copied requisition.

You can search the new copied requisition on the Draft tab.

After you create a requisition from a copy, you can submit any requisition field updates for approval.

You can use the Notes, Attachments, and Expense links in the requisition header to add notes, attach files, and add expenses.

  1. Select Requisitions > All.
  2. Click Create Requisition From Copy.
  3. In the From Job Requisition field, specify the job requisition number.
  4. Click Submit.

Searching requisitions

You can search a requisition based on the requisition status.

This table shows filters for each requisition status:

  2. Double-click a requisition.
  3. To view the resume of the candidate for a requisition, click Resume.
    To view the details of the requisition, click Requisition Details.

    To view the details of the job and position of a requisition, click Position/Job Details.

    To view the interview details of a requisition, click Interviews.

    To view the job board postings of a requisition, click Postings.

    To view approvals for requisitions in all statuses, click Approvals.

    To view all job applications for a requisition, click Applications.

    To view the career match percentage of the requisition to each candidate, click Career Plan Matches.

Viewing the approval progress of a requisition

  1. Select Requisitions > Approval Requested.
  2. In the Approval level column, click the approval level link of the requisition.
    For example, Level 1 of 3.
  3. Optionally, click Open to maximize the Job Requisition pane.

Viewing all job postings for a requisition

You can view the duration and status of the job board posting for a requisition.

  1. Select Requisitions > All.
  2. Optionally, select Requisitions > Open to view job applications for a requisition in an open status.
  3. In the Postings column, click the number of live job postings for the requisition.
  4. Optionally, click Open to maximize the Job Board Posting pane.

Viewing all candidate job applications for a requisition

The candidates are displayed on the current workflow step.

  1. Select Requisitions > All.
  2. Optionally, select Requisitions > Open to view all candidate job applications for a requisition in an open status.
  3. In the All applications column, click the total number of job applications for a requisition.
    Alternatively, double-click the requisition and click the Applications tab.

    The recruiter drags and drops candidates to move them across workflow steps.

  4. Optionally, click Open to maximize the Workflow pane.

Viewing candidate job applications on a workflow

You can view candidates in these categories:
  • New: Candidates attached to the requisition or recently submitted job applications
  • Active: Candidates under active consideration for the position
  • Offer: Candidates with job offers in Pending, Extended, or Accepted status
  • Hire: Candidates in a workflow step with a Hire type

You can also view job applications for candidates in the Offer or Hire workflow.

  1. Select Requisitions > Open.
  2. Click the number of job applications for candidates in the New or Active column.
  3. Click the number of job applications for candidates in the Offer or Hire column.
