Extending offer letters as a recruiter from a step in the requisition workflow for organizations with a quick offer process

Before you extend offer letters for a candidate from a workflow step of a requisition, you must perform these actions:
  1. Enable the Streamlined offer process for recruiters feature toggle

    See Feature toggles in Talent Acquisition.

  2. Enable the offer letter templates with paragraphs for organizations

    Configuring Talent Acquisition organization parameters.

  3. Enable the quick offer process or different offer templates for external and internal candidates for an organization

    See Configuring the default offer letter and email templates for organizations and Configuring the different offer templates for candidates.

  4. Add the Quick Offer action to any or specific workflow step

You define and create offer letters by using the Quick Offer action. This action applies to a candidate who is in a specific or any workflow step.
When you define offer letters using the Quick Offer action, you can view these information before you send the job offer:
  • Offer letter
  • Offer email information

When you change any fields for the offer letter, you must click Generate Offer to update the preview of the offer letter and the offer email information you use to send the offer letter.

  1. Click Requisitions.
  2. In the job list, select a requisition.
  3. Click Workflow.
  4. Select a workflow step.
  5. Right-click a candidate that is in any or specific workflow step and select Quick Offer.
  6. On the Other Information tab, specify this information:
    Effective Date
    Specify the date to send the offer letter to the internal or external candidate.
    Reason
    Select the reason code of the offer letter to send to the internal or external candidate.
    Position
    Select the position that is offered to the internal or external candidate.
    The default position for the requisition is selected.

    Offer Letter Template
    Select the offer letter template to use for the job offer.
    The default offer letter template for a requisition is selected.
    When you enable the quick offer process for an organization, the default offer letter template that you configure for an organization with quick offer process is selected. The offer letter template is used for the Quick Offer action. The description of the offer letter template is displayed.

    Offer Email Template
    Select the offer email template to use for the Quick Offer action.
    The default offer email template for a requisition is selected.
    When you enable the quick offer process and multiple offer templates for an organization, multiple default offer email templates are selected for internal and external candidates. The offer letter template is used for the Quick Offer action. The description of the offer email template is displayed.

    Employment Contract
    The default employment contract for the internal or external candidate's job offer is selected.
    This field is displayed when you the enable Employment Contracts check box.

    Contract Type
    The default contract type for the internal or external candidate's job offer is selected.
    This field is displayed when you enable the Employment Contracts (Legacy) check box.

    Contract Template
    The default contract type for the internal or external candidate's job offer is selected.

    Location
    Select the location of the internal or external candidate's job offer.
    Offer Date
    Specify the date that the internal or external candidate's job offer is created.
    Employment Start Date
    Specify the starting date of the internal or external candidate's employment to an organization.
    Legal Entity
    Select the legal entity of an organization that the internal or external candidate to send the job offer belongs to.
    When you select the legal entity, the description of the legal entity is displayed.
    This field is displayed when the organization is configured to require the legal entity.
    Legal Establishment
    Select the legal establishment of an organization that the internal or external candidate to send the job offer letter belongs.
    When you select the legal establishment, its description is displayed.
    This field is displayed when the organization is configured to require the legal establishment.
    Salary
    Specify the salary amount to add in the internal or external candidate's job offer.
    Currency
    Select the salary currency to add in the internal or external candidate's job offer.
    Frequency
    Select the salary payment frequency to add in the internal or external candidate's job offer.
    Salary Type
    Select the salary type to add in the internal or external candidate's job offer.
  7. Click Generate offer.
  8. Optionally, update the offer letter template.

    Before you can edit an offer letter template for a requisition, you must enable the Allow Editing Of Offer Letter check box.

  9. Specify this information:
    To:
    Specify the internal or external candidate's email for the job offer.
    From:
    Specify the sender's email for the job offer.
    CC:
    Optionally, specify the employee's email to carbon copy the job offer.
    BCC:
    Optionally, select the employee's email to blind copy the job offer.
    Subject
    Specify the email subject for the job offer.
    Body
    Specify the email body for the job offer.
  10. Optionally, add documents to attach for the job letter:
    1. Click the Attachments tab.
    2. Select a type of attachment to add.
    3. Click the Folder icon and select the file to attach.
    4. Click Open.
    5. Optionally, select Include in letter to attach the file to the job offer.
  11. Click Create and extend offer.
  12. Click Ok.
