Candidate profile actions

Some actions are not available, depending on the status of the job application, security settings, or other configuration.

This table shows the candidate profile actions that recruiters and recruiter administrators can perform from the candidate job application:
Action Description
Enter New Candidate Create a new candidate profile.
Attach Candidate Attach the candidate to another requisition.
Do Not Hire Flag the candidate as not hired.
Move To Step Move candidate to a specific workflow step.
When these conditions are met, you can drag and drop the candidate into or out of a workflow step:
  • UX 4.0 controls are implemented
  • Configurable hiring workflow is implemented
  • The Move To Step action is valid for the candidate and the workflow

As an alternative, select the Move To Step action from the menu list.

Advance Candidate Advance a candidate to another workflow step.

If quick actions are enabled for an organization, the candidate is moved to a Hiring Manager Review step.

Hold Candidate If quick actions are enabled for an organization, the candidate is moved to a Disposition step.
Discontinue with Candidate Move a disqualified candidate to a disposition workflow step.

If quick actions are enabled for an organization, the candidate is moved to a Disposition step.

Send Email Send an email to a candidate.
Create Document Create a document for a candidate.
Create Note Create a note for a candidate.
Add Attachment Add an attachment to the workflow step.
Create Program Assign a transition program to the candidate.

Mark Resume

Unmark Resume

Send Resume
Mark, unmark, or send a candidate's resume.
Internal Model Percent Fit Calculate the candidate's match to the position.
Assign Screening Assign one or more screening packages to a candidate.
Schedule Interview Schedule an interview with a candidate.
Change Offer Status Change the candidate's offer.
Define Offer Define an offer for a candidate.
Create Offer Letter Create and send an offer letter to the candidate.
Undo Hire Remove a candidate's status as hired and place the candidate back into the workflow.

This action is used when the candidate has withdrawn candidacy or has not started work.

Adding documents to candidate profiles

Recruiters can add an existing document based on a document template to the candidate or resource profile. An example is hiring paperwork.

For candidates, this process creates an attachment that recruiters can view on the Attachments panel under Correspondence in the candidate profile. For resources, the attachment created is available in Personal Information > Attachments on the resource profile.

  1. From the Requisition dashboard or Workflows window, select the requisition to which the candidate applied.
  2. Click the All tab.
  3. Select the candidate profile.
  4. Select Create Document from the More Actions menu.
  5. Select the document.
  6. Click Submit.

Adding attachments to candidate profiles

Recruiters can attach important documents, such as cover letters and resumes, to candidate profiles.

  1. From the Requisition dashboard or Workflows window, select the requisition to which the candidate applied.
  2. Click the All tab.
  3. Select the candidate profile.
  4. Select Add Attachment from the More Actions menu.
  5. Select the type of document.
  6. Select the document.
  7. Click Submit.

Adding notes to candidate's job application

You can use note templates or customize the note using the formatting options.

  1. Sign in as a recruiter or hiring manager.
  2. For recruiters, click Requisitions or select Talent Acquisition > Requisitions.
    For hiring managers, select Manager > Acquire Talent > Requisitions or Manager > Hiring > Requisitions.
  3. From the job or hiring list, select a requisition.
  4. Click All.
  5. Double-click a job application.
  6. Click Core Profile.
  7. Click Notes in the Quick Links section.
  8. Click All.
  9. Click Create.
  10. To use a template, select the note template.
  11. Specify a description and the text of the note.
  12. Click Submit.

Attaching candidates to additional requisitions

Recruiters can attach a candidate to additional requisitions and notify the candidate.

They can define these details when attaching candidates to additional requisitions:
  • Data to copy for the created job application
  • Workflow step of the new job application
  • Candidate notification for internal and external candidates

You must enable the Selective Data Copy on Attach Candidate feature toggle.

  1. Select Requisitions.
  2. Select the requisition to which the candidate most recently applied.
  3. Click Workflow tab or All tab.
  4. Right-click the job application and select Attach Candidate To Another Requisition.
  5. Specify this information:
    Job Requisition
    Select the reference number that is associated with the requisition to which you are attaching the candidate.
    Job Posting
    Select the posting that is associated with the requisition.

    If you enable to attach candidates who did not complete the application process to requisitions, then this field is not required.

    If a job posting is not specified, then a link to the job posting is not sent to the candidate, and the candidate cannot complete any initial application tasks that are configured.

    Date applied
    Select this check box to copy the application date from the source job application to the created job application.
    Interview history
    Select this check box to copy all past interviews from the source job application to the created job application.
    Correspondence history
    Select this check box to copy all email correspondence and attachments from the source job application to the created job application.
    Candidate notes
    Selecting this check box to copy the candidate notes from the source job application to the created job application.
    Note: If you disable the Hide Notes feature for an organization, the Candidate notes check box is displayed.

    Attached documents
    Select this check box to copy all attached documents excluding resumes, offer letters, and contracts from the source job application to the created job application.
    Answers to matching questions
    Select this check box to copy answers to screening questions from the source job application that match the screening questions of the target requisition.

    Only questions configured in the Question Catalog are considered for matching. Profile and interview questions are excluded.

    Questions are considered a match for these scenarios:
    • The source and target questions are from the Question Catalog and share the same Question ID.
    • The target question is active.
    • The parent-child conditions are met.

    Some questions in the target requisition may not have answers copied from the source application. This may affect the score.

    Resume
    Select Candidate Profile to copy the most recent resume from the candidate's profile.

    Select Job Application to copy the primary resume from the source job application.

    Source
    Select the source that is associated with the job posting.

    The default value for the source is defined in the source job application.

    Specific Source
    Select the specific source, if any, that is associated with the job posting.

    The default value for the specific source is defined in the source job application.

    Referring Source
    Specify the referring source that is associated with the candidate or job posting.
    Current workflow step from previous application
    The current workflow step from the source job application is displayed in the Current workflow step from previous application field.

    If the workflow step runs on multiple job applications, the current workflow step of the first job application is displayed in this field.

    Select which workflow step this candidate should be in for the new requisition
    If the target requisition and the source job application requisition have the same hiring workflow, the selected workflow step is the current workflow step of the source job application.

    If the target requisition and the source job application requisition do not have the same hiring workflow, the selected workflow step is the Attach Candidate to Requisition step of the target requisition hiring workflow.

    Notify On Profile
    Select this check box to send the requisition notification to the internal candidate attached to the requisition.
    Notification Message
    Provide the requisition notification to send to the internal candidate.
    Notify by Email
    Select this check box to send an email notification to the internal candidate who is attached to a requisition.
    Notify by Candidate
    Select this check box to send an email notification to the external candidate who is attached to a requisition.
    From
    Specify the sender's email address to use in the email notification.

    If you select the Notify By Email or Notify by Candidate check box, then this field is displayed.

    Subject
    Specify the subject of the email notification.

    If you select the Notify By Email or Notify by Candidate check box, then this field is displayed.

    Message
    Provide the message to include in the email notification.

    If you select the Notify By Email or Notify by Candidate check box, then this field is displayed.

    Delay Email
    Select this check box to delay sending the email notification to the candidate attached to the requisition.
    Delay by hours
    Specify the number of hours to delay sending the requisition email notification to the internal or external candidate attached to the requisition.
  6. Click Submit.

Attaching candidates to additional requisitions when the Requisition List Enhanced Experience feature toggle is enabled

You can attach a candidate to an additional requisition from the redesigned Requisitions list.

You must enable the Selective Data Copy on Attach Candidate and Redesigned Talent Acquisition Lists feature toggles.

  1. Select Requisitions > All.
  2. Search for the requisition:
  3. In the All applications column, click the number of applications for a requisition.
  4. Select a job application.
  5. Select ... > Attach Candidate To Another Requisition.
  6. Specify this information:
    Job Requisition
    Select the reference number that is associated with the requisition to which you are attaching the candidate.
    Job Posting
    Select the posting that is associated with the requisition.

    If you enable to attach candidates who did not complete the application process to requisitions, then this field is not required.

    If a job posting is not specified, then a link to the job posting is not sent to the candidate, and the candidate cannot complete any initial application tasks that are configured.

    Date applied
    Select this check box to copy the application date from the source job application to the created job application.

    Attached documents

    Current workflow step from previous application
    The current workflow step from the source job application is displayed in the Current workflow step from previous application field.

    If the workflow step runs on multiple job applications, the current workflow step of the first job application is displayed in this field.

    Select which workflow step this candidate should be in for the new requisition
    If the target requisition and the source job application requisition have the same hiring workflow, the selected workflow step is the current workflow step of the source job application.

    If the target requisition and the source job application requisition do not have the same hiring workflow, the selected workflow step is the Attach Candidate to Requisition step of the target requisition hiring workflow.

    Notify On Profile
    Select this check box to send the requisition notification to the internal candidate attached to the requisition.
    Notification Message
    Provide the requisition notification to send to the internal candidate.
    Notify by Email
    Select this check box to send an email notification to the internal candidate who is attached to a requisition.
    Notify by Candidate
    Select this check box to send an email notification to the external candidate who is attached to a requisition.
    From
    Specify the sender's email address to use in the email notification.

    If you select the Notify By Email or Notify by Candidate check box, then this field is displayed.

    Subject
    Specify the subject of the email notification.

    If you select the Notify By Email or Notify by Candidate check box, then this field is displayed.

    Message
    Provide the message to include in the email notification.

    If you select the Notify By Email or Notify by Candidate check box, then this field is displayed.

    Delay Email
    Select this check box to delay sending the email notification to the candidate attached to the requisition.
    Delay by hours
    Specify the number of hours to delay sending the requisition email notification to the internal or external candidate attached to the requisition.
  7. Click Submit.

Calling the candidates from the requisitions

Depending on the available calling applications in their desktop, recruiters can call the candidate's phone numbers from a requisition workflow or a candidate's resume.

They can also call the candidate's phone numbers from the candidate's profile and candidate's references from the hiring process.

  1. Select Requisitions.
  2. From the job list, select a requisition.
  3. To call a candidate's phone number from the requisition's workflow, click Workflow and select a workflow step.
  4. To call a candidate's phone number from a candidate's system-generated resume, click Resume.
  5. Click the candidate's phone number.
  6. Optionally, select Always allow in the Open Pick an app? window.
  7. Click Open.
  8. Select the calling application.
  9. To always use the calling application, click Always.
  10. To use the calling application once, click Just once.

Sending an email to the candidate from the requisition

Using the default email application on their desktop, recruiters can send email to the candidate's email address from a requisition workflow or a candidate's resume.

They can also send emails from the candidate profile.

  1. Select Requisitions.
  2. From the job list, select a requisition.
  3. To send an email from the requisition's workflow, click Workflow and select a workflow step.
  4. To send an email from a candidate's system-generated resume, click Resume.
  5. Click the candidate's email address.
    The candidate's email address is specified automatically in the To field.
  6. Specify the email's content to send to the candidate.
  7. Click Send.

Calculating a candidate's fit with a requisition

You can calculate a candidate's fit. Percent fit is automatically calculated when a candidate is attached to a job application. Recruiters can recalculate the percent fit for candidates whose profile has changed.

From the Requisition dashboard or Workflows window, click the ellipses menu and select Calculate Fit.

The action is performed, and data is updated.

Setting a candidate to Do Not Hire

Recruiters can complete the Do Not Hire action from the candidate profile or the candidate job application. When the Do Not Hire action is completed, the recruiter specifies a reason for setting a candidate to Do Not Hire. Do Not Hire alerts are displayed on the profiles and job applications. If candidate job application dashboard panels are enabled, details are displayed in the Talent Profile/Fit Analysis Overview panel.

Recruiters can view candidates with the Do Not Hire alert on the Candidate Alerts Today page panel and Infor OS Portal or Infor LTR widget.

  1. Access the candidate profile or the candidate job application.
  2. Right-click the candidate and select Do Not Hire.
  3. Specify this information:
    Do Not Hire
    Select this option to flag the candidate.
    Reason
    Specify the reason for flagging the candidate.
  4. Click Submit.
