Processing and closing payroll for MIS reporting

As payroll administrator, select Payroll > Cycle > Payroll Cycle or Payroll > Off Cycle > Payroll Off Cycle.

Comparing mapping types

  • When you use the Financial Account mapping, payroll records in hours, amounts, or both are created. If the employee’s payroll distribution record is not qualified for any of the mapping setups, the system uses the current GL field default logic.
  • When you use the Earned Hours Detail Account mapping or the Earned Hours Summary Account mapping, additional payroll records are created depending on the setup that is defined on the payroll configuration. If you use both mappings, additional two records are created.
    Note: In the payroll distribution record, only hours are stored.
  • When you use the Create Summary and Detail in a Single Distribution option, instead of two separate records, a single record that holds both the Earned Hours Detail Account and Earned Hours Summary Account mapping types is created.
    Note: This option is only used when both the Create Earned Hours Detailed and Create Earned Hours Summary is enabled on the payroll configuration. The MIS account mapping setup for the Earned Hours Detail Account and Earned Hours Summary Account mapping types must have different Finance Dimensions values.

MIS mapping during Close Payroll

You must run the Close Payroll action in Draft status before you finalize the process.

  • General Ledger fields that are created in payroll distribution are updated through the MIS account mapping.
  • In the Payroll Cycle Summary, an error log is available and MIS-related warnings and errors are displayed.
    • To correct the errors, you must update the employee information and the MIS account mapping or exempt the employee from any mappings.
    • To determine if additional corrections are required, you must review the warnings.

    After correcting the errors, Close Payroll is completed and finalized.

  • For Employer Paid Deductions Expense Account:
    • If the deduction is prorated using the employee time record, use the MIS account mapping applied to the pay code.
    • If there is an MIS account mapping for the specific deduction code, use the MIS account mapping for the deduction code.
    • If the deduction has no MIS account mapping or the pay code where the deduction was prorated from did not have an MIS account mapping, use the non-MIS defaulting to retrieve the account.
  • For Employer Paid Deductions Accrual Account:
    • If the Use MIS Account for Accrual Account in the deduction code setup is True, use the applicable value:
      • If there is an MIS mapping for the deduction code, use the derived MIS account.
      • If there is no MIS mapping, use the value derived from the expense account.
    • If the Use MIS Account for Accrual Account is False, use the non-MIS defaulting logic.
  • For Employee Paid Accrual Account:
    • If the Use MIS Account for Accrual Account in the deduction setup is True, use the applicable values:
      • If there is an MIS mapping for the deduction code, use the derived MIS account.
      • If there is no MIS mapping for the deduction code, use the non-MIS defaulting logic.
    • If the Use MIS Account for Accrual Account is False, use the non-MIS defaulting logic.
    • Employee paid deduction uses the primary work assignment when determining MIS account mapping conditions and cross referencing. Only MIS account mapping eligibility for work assignment can be used as criteria for Financial Account.

MIS mapping during Accrue Payroll

  • MIS account mapping is applied to all Accrue Payroll report options.
  • The rules are similar to the rules defined in Close Payroll.
  • You can view the warnings and errors encountered during the processing in the Accrual Program.
